Job Overview
The Indiana Bar Foundation is seeking a Grants Specialist responsible for the administration of the Foundation’s grants and scholarships program. Each year, the Foundation awards grants to civil legal aid organizations and scholarships to law students and attorneys. This role will be responsible for creating and monitoring applications, award agreements, and contracts and overseeing award distributions, grant reporting, data collection, and data analysis across all grants and scholarships. Required tasks include tracking reporting requirements and deadlines; managing, analyzing, and consolidating quantitative and qualitative evaluation data; and ensuring compliance with grant agreements and contracts. The Grants Specialist will also provide administrative support for the Foundation’s IOLTA program and various endowed funds, which provide funding for the grants and scholarships that the Foundation awards. 

Key Responsibilities

  • Oversee communication with grantees and fund recipients regarding grant and scholarship programs and application status
  • Help promote available grants and scholarships to the civil legal aid community and other stakeholders
  • Support monthly, quarterly, and annual grant reporting processes including reminders to grantees, response to inquiries, data integrity follow-ups, and data analysis and reporting
  • Monitor and track all grants received and consolidate materials for reporting requirements
  • Help develop data collection and consolidation processes including management of outsourced tools and vendors
  • Work with the Finance Manager to prepare and send grant distributions
  • Participate on the Foundation’s Grants & Scholarships Committee and sub-committees
  • Maintain fund and grant agreement templates
  • Participate in IOLTA compliance review and monthly IOLTA remittance reconciliation process
  • Help plan and execute the annual Civil Legal Assistance Conference
  • Support the activities of the Coalition for Court Access including meeting logistics
  • Attend relevant Indiana Bar Foundation meetings and community meetings
  • Bachelor’s degree and/or prior experience in grant management preferred
  • Demonstrated process management expertise and experience with data collection and reporting
  • Detail oriented and comfortable working within set timelines and deadlines
  • Proficient in Microsoft Office with a preference for advanced Excel skills and experience with Tableau or Power BI
  • Excellent communication skills (both verbal and written)
  • Ability to accomplish projects independently and within a team
  • Exceptional time management skills
  • Excellent interpersonal skills and ability to work collaboratively with a high level of professionalism

Experience, Abilities, & Qualifications

  • Bachelor’s degree and/or prior experience in grant management preferred
  • Demonstrated process management expertise and experience with data collection and reporting
  • Detail oriented and comfortable working within set timelines and deadlines

Benefits
Salary for this position is commensurate with education and job experience, planned for $42,000-$48,000. The Foundation offers a comprehensive benefits package, including insurance premium coverage for medical, dental, vision, and long-term disability, employer HSA contributions, 10% employer 401(k) contributions, and three weeks paid time off.
