General Summary
Provide administrative support to the SVP for Strategic Enrollment Management and Executive Directors within enrollment management.
Essential Duties & Responsibilities
- Coordinate meetings and manage calendars with internal and external constituents providing efficient management of SVP’s time.
- Serve as a liaison between SVP for Strategic Enrollment Management’s direct reports on administrative matters.
- Interact with a variety of faculty, administration, staff, families, and students in a fast-paced office.
- Manage and prepare professional written correspondence in the form of both letters and emails with a high degree of accuracy.
- Perform general administrative functions such as processing mail, phone calls, teleconference, email, data entry, filing, and copying.
- Order and maintain department office supplies.
- Process purchase orders, expense reports, and purchase card statements.
- Schedule and coordinate various admissions events, training and informational sessions, and department-wide meetings (both virtual and in person).
- Manage and maintain Board of Trustees Portal for Enrollment Management and Marketing Committee.
- Oversee or assist with annual reporting requirements from external training and education funding programs and licensing agents.
- Maintain record of and notify relevant stakeholders of new partnerships and partnership contracts through carefully managed records, documentation of unique elements, and regularly updating partnership data sets for the university’s CRM.
- Work in tandem with other departments/offices to communicate process updates and procedural changes, as well as maintain detailed records of these changes.
- Assist with special projects as requested which may require environmental scanning, cross-departmental research and collaboration, and implementation and project management of emerging opportunities.
- Attend meetings and record discussions to provide minutes.
- Perform other duties as assigned.
Qualifications
- Minimum of Associate’s degree preferred with three years of progressively responsible administrative experience in a professional office environment supporting executive(s).
- Must possess inherent intelligence with an attention to detail.
- Ability to multitask with excellent time management and organizational skills.
- Ability to work independently in a fast-paced office environment.
- Demonstrate a high degree of professionalism, initiative, independence, and be solution-oriented in all tasks and projects assigned.
- Demonstrate an awareness of time-sensitive issues and prioritize accordingly.
- Handle highly confidential and sensitive information with discretion.
- Ability to keep complex records, to assemble and organize data of a complex nature, and to prepare and submit reports in various formats.
- Expert level written and verbal communication skills.
- High level of proficiency in Microsoft Office suite.
- Ability to maintain a pleasant personality in fast paced and changing scenarios.
- Must possess a team player attitude.
- Ability to adjust to changing needs and processes while anticipating challenges, identifying problems, and developing solutions

Working Conditions
Work is normally performed in a typical interior/office work environment. May require occasional schedule augmentation as needed. Scheduling must be flexible to accommodate early morning, evening or weekend work when needed (not a normal happening).
