Summary

Responsible for monitoring the safe, efficient operation of the Fleet maintenance Contractor and the IPS Fleet including special purpose buses, craft vehicles, and FMD / police equipment, and verifying compliance of the contractor to the maintenance required in the Fleet maintenance Contract.

Essential Duties and Responsibilities

  • Ensure the Fleet Maintenance Contractors maintenance program is safe efficient, routine, and preventative for all IPS equipment as required in the contract.
  • Maintain a fleet management system that monitors operating costs, keeps records for efficient use and maintains records for special-purpose buses as required by law.
  • Report to the Director of Transportation any inefficiencies, failure to comply with contracting issues, and not keeping IPS equipment in a continual state of efficiency operation.
  • Create a Quality Assurance Plan to ensure that all contracted work has been completed before buses are placed in operation for the first time at the beginning of each school year.
  • Ensure that road emergency calls are necessary, efficient, and timely.
  • Ensure that the Fleet Maintenance Contractor is performing work on all IPS vehicles / equipment to reduce the amount of time any vehicle or equipment is out of service.
  • Ensure that the FMC is properly preparing all IPS buses to be ready for the Indiana State Police Inspection and to meet and / or exceed the standards that were set in the contract. Coordination with schools will be necessary to ensure that these inspections are held, the white fleet is prepared and the inspections are carried out to meet the standards set in the contract and required by law.
  • Keeps abreast of new concepts of maintenance programs, parts, and equipment necessary to provide an ever increasingly more efficient operation.
  • Oversee and coordinate with Contractor for FMD, Food Service, and Police for craft vehicle fleet repair and preventive maintenance and maintenance.
  • Coordinate with Enterprise as it pertains to the new fleet vehicles as well as the existing FMD fleet. Also, manage the relationship with all other third-party vendors utilized by IPS.
  • Coordinate with the insurance carrier regarding ALL IPS vehicles or as needed regarding vehicle accidents - including special purpose bus fleet, police cars, and craft vehicles.
  • Develop specifications for cars, trucks, and other equipment purchases. Attends and conducts service meetings on new vehicles.
  • Develop in coordination with the Transportation Director specifications for special purpose bus fleet vehicles.
  • Coordinate with appropriate administrators to develop plans for vehicle replacement and reduction of fleet or equipment as needed.
  • Ensures adherence to all Federal and State laws, including Board of School Commissioners' policies.
  • Other duties as assigned.

QUALIFICATIONS

EDUCATION and / or EXPERIENCE

High School diploma or general education degree (GED) and 10 years related experience in Fleet Management. Bachelor's degree in Industrial Education, Vocational Auto Mechanics Education, or equivalent preferred.

Extensive experience in maintenance and repairs of diesel and gasoline vehicles as well as powered equipment. Experience in coordinating with vendors and oversee work vendors' work performance, organization of vehicle maintenance programs, parts inventory control and record keeping.

Must possess knowledge of the Indianapolis Public Schools operations and knowledge of the streets of Indianapolis. Prior school bus driving experience would is helpful.

The ability to multitask is required.

LANGUAGE and COMPUTER SKILLS

Ability to read and write complex instructions, short correspondence, and memos in English. Ability to effectively present information in one-on-one and small group situations. Knowledge of computer-based fleet maintenance programs, word, excel, and office.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving complex variables in standardized situations. Ability to work well with others in a team concept.

CERTIFICATES, LICENSES, REGISTRATIONS

A mechanical background would be helpful. An understanding of the necessary skills to drive a CDL vehicle is essential

The noise level in the work environment is usually low but at times would be the same as a working vehicle garage when doing site visits to bases and contractor
