Objectives of this role
Direct Support: Oversees strategic business initiatives, from development through successful execution, under the guidance of senior leadership and department heads:- Assists and communicates with executives in decision-making, program management, and initiative implementation.
- Manages internal and external communications, draft company newsletters, speeches, presentations.
- Coordinates agendas for CEO approval before leadership team and Board of Director meetings.
- Optimizes and ensures executive involvement in project or decision making processes takes place at key times, where input and authority are most needed.
- Prepares for and follows up on board of directors, leadership, and operation meetings.
- Helps manage the operational day-to-day tasks.
- Organizes company retreats, conferences or other special events.
- Manages dd hoc projects as needed.
Project Management: Oversees large, often cross-functional, organization-wide projects or initiatives; brings together important stakeholders and help drive decisions:
- Conducts research, benchmarking, and data analysis to develop recommendations on projects.
Hiring, Organizational Structure and Management: Reviews, designs, and executes improvements to organizational structure; find knowledge and skills gaps and help address them
- Improves current processes and optimize organizational procedures for efficiency and productivity.
- Creates strategic processes and organizes company structure to improve internal efficiency and productivity.
- Serves as the liaison between different departments, streamlining the flow of information inside your company.
Responsibilities
- Serves as liaison with staff, executives, senior leaders, and CEO regarding company climate, employee well-being, project updates, proposals, and planning.
- Oversees daily operations in collaboration with senior managers and department leaders, and perform administrative tasks such as managing calendars, generating correspondence, maintaining hard copies and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities.
- Develops and builds relationships with all employees for increased efficiency and responsiveness of existing operations, and help define new operational strategies by working with CEO and other executives on special projects.
- Serves as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications.
- Performs additional responsibilities as required to ensure the team's success.
Education
- Minimum of an Associate’s degree in Business Administration or office management.
- Bachelor's degree is preferred - or combination of equivalent education and experience.
Required skills and qualifications
- Minimum Five or more years of experience in a business management or executive role.
- Experience in organizing and directing multiple teams and departments.
- Experience in planning and leading strategic initiatives.
- Experience in marketing/advertising or non profit industry, with a focus on operations management.
- Preferred skills and qualifications
- Experience in data analysis and budget management.
- Proven success in a project coordination role.

- Be able to balance work with other activities, which requires managing various tasks simultaneously.
- Have excellent communication skills, both written and verbal.
- Have strong customer service skills and be able to interact with clients and other stakeholders in a professional manner.
- Have strong computer and technical skills, including proficiency with Microsoft Office Suite and other relevant software.
- Be a team player and be able to work effectively with others.
- Be adaptable and able to adjust to changing priorities.
**Additional certifications such as Microsoft Office Specialist (MOS) certification, Certified Administrative Professional (CAP) designation, or similar credentials are a plus.
