Description
The role of the Customer Service Representative (CSR) is to provide the highest level of customer service and care. This is done by answering phones, answering client questions, pulling patient charts, checking clients in and out, and accepting payments. A CSR will always maintain a professional appearance and behave in a professional manner, speak clearly and slowly for clients to understand, and relay reliable information to clients as directed by the veterinarian and / or veterinary technicians. If any problems arise, the receptionist should report them to the practice manager immediately.
Some of the responsibilities you will own in this role :
- Demonstrates patience, empathy, and compassion when interacting with clients and patients.
- Skilled in professional and respectful communication with clients and team members.
- Provides exceptional service by identifying and addressing client needs effectively.
- Proficient in managing phone inquiries with efficiency and a positive tone.
- Strong verbal, written, and listening communication skills with attention to detail and accuracy.
- Highly organized, able to multitask, and maintains professionalism under pressure.
- Experienced with computers, including spreadsheet and word processing programs.
- Analytical, problem-solving, stress management, and time management skills.
- Maintains cleanliness and organization in client-facing and shared spaces.
- Capable of handling transactions, explaining financial policies, and providing follow-up instructions.
- Experienced in utilizing practice management software to hospital standards.
- Knowledgeable about veterinary medical terminology, hospital procedures, policies, and services.
- Adapts well to crisis situations, remaining calm and efficient.
- Physically capable of tasks requiring lifting (up to 40 lbs), standing, or sitting for extended periods.
- Works well in potentially unpleasant conditions involving odors, noises, or animal waste.
- Possesses a positive, cooperative attitude with initiative and follow-through.
- Enjoys working with both people and animals, bringing a "can-do" mindset to daily duties.
