Job Summary

This position performs accounting duties in support of a variety of department functions.

The minimum annual salary is $49,700, based on education and experience.

  • Responsibilities

    Performs supervision functions - 10%

  • Trains, assigns, directs, supervises, evaluates, and disciplines personnel.
  • Coordinates monthly staff meetings.
  • Resolves problems and provides solutions
  • Manages the college's bank account - 40%

  • Prints previous day's bank sheet and distributes daily.
  • Prepares the college's monthly bank statement reconciliation. Includes but is not limited to, downloads and reviews monthly bank statement to determine appropriate classification; runs queries, enters bank totals on excel spreadsheet and verifies; reconciles bank and book amounts; uploads monthly check file to reconcile checks in the financial system; runs outstanding payment query to assist with reconciling payments that cleared bank; manually reconciles EFT, ACH, and manual records in the financial system; researches variances, and communicates with employees on unreconciled items, etc.
  • Monitors bank balance.
  • Downloads reports.
  • Initiates wire transfer(s) and processes manual records or journals for wire transfer payments.
  • Serves as primary administrator for online banking functions.
  • Manages positive pay exceptions.
  • Reviews and makes decisions on any unauthorized banking transactions.
  • Initiates bank account analysis statement to book monthly interest via journal entry.
  • Performs activities in support of annual reporting - 15%

  • Prepares and submits Budgetary Compliance Report including adjustments.
  • Prepares and processes year-end entries and uploads / scans supporting documentation.
  • Assists AVPFA and Director of Accounting with annual financial reports.
  • Prepares and manages the collection of audit documentation annually.
  • Manages the Business Service annual survey (use Survey Monkey).
  • Maintenance of unclaimed property - 15%

  • Maintains the unclaimed property / escheatment for operating.
  • Prepares and sends notices for outstanding checks more than 30 days.
  • Works with financial aid to identify federal funds to be returned to Department of Ed (DOE).
  • Prepares and runs escheatment process for non-federal aid funds after 180 days.
  • Prepares and sends final notices (due diligence requirement) and places stop payment on check(s).
  • Submits payment annually to the state (on check) and ensures compliance with that state.
  • Conducts an annual search for unclaimed property with the state and requests reimbursement on behalf of the college.
  • Performs general accounting functions - 10%

  • Assists with month-end closing, monthly analysis of accounts, and reconciliations.
  • Runs monthly queries for budget journals and / or budget overrides for approval(s).
  • Assists in preparing and processing journal entries and uploading or scanning supporting documentation.
  • Manages and maintains the Balance Sheet Accounts Reconciliation Master Worksheet including but not limited to, running monthly trial balance, reviewing existing asset and liability accounts, and updating worksheet.
  • Performs analysis of various accounts assigned
  • Asset Management and GASB Compliance - 5%

  • Manages and maintains Asset Management Lease Admin and associated reconciliations.
  • Manages and maintains any GASB requirements related to accounting and associated reconciliations.
  • Performs a variety of related duties - 5%

  • Prepares refund checks and / or incoming ACH payments with appropriate accounting for deposit.
  • Assists Director of Accounting with developing, maintaining, and implementing policies and procedures to ensure compliance with state and federal regulations.
  • Maintains college's Department of Accounting website.
  • Assists the Accountant I with annual travel and expense training sessions for faculty and staff and ensures compliance with state (SAO) and Board of Regents / USG procedures.
  • Performs related duties as assigned
  • Required Qualifications

    Educational Requirements

  • Bachelor's degree in accounting, finance, business administration and / or a combination of education and equivalent work experience.
