Position: People and Culture Generalist
Location: Chicago Office (Hybrid 3 days a week)
Reports To: Chief People and Culture Officer
Instant Pot Brands is looking for an enthusiastic, fast-moving, and collaborative individual to join the People and Culture Team in our corporate office in Chicago, IL. This role will have responsibility for benefits administration and full cycle payroll for a salaried population across the US and Canada. To be successful, qualified candidates must have Benefits and ADP payroll experience.
Essential Functions (include but not limited to):
HR/Benefit Administration
- Administer a full range of benefit programs for employees including health and welfare, HSA/FSA, employee insurance programs, retirement plan, and share purchase plan.
- Assist employees and new hires with onboarding.
- Manage employee inquiries regarding benefits and advise and inform employees of changes and developments related to benefits including eligibility, coverage, and provisions.
- Interpret and explain benefits/wellness policies, procedures, and rules to managers and team members and ensure legal compliance with applicable federal, state, and local regulations.
- Liaise with all benefit carriers and recordkeepers to resolve any issues on employee inquiries and billings.
- Facilitate accurate and timely delivery of employee and employer contributions for quarterly purchases under Employee Share Purchase Plan.
- Reconcile benefit statements to payroll.
- Other HR Generalist responsibilities and projects as required.
Full Cycle Payroll
- Ensure that all employee wages, bonuses, and deductions are paid accurately and in a timely manner.
- Prepare and remit all withholding taxes, including but not limited to, federal and state income taxes, Social Security, Medicare, unemployment taxes and any other requirement payments.
- Ensure employee hours, overtime, and paid time off (PTO) are accurately accrued and recorded.
- Prepare all payroll-related reports and documents and respond to payroll inquiries from outside parties (e.g. Accounting or Auditors).
- Be the first point of contact for employees in matters relating to pay.
- Resolve payroll discrepancies and errors quickly.
- Manage the year-end payroll process including issuance and reconciliation W-2s.
- Maintain detailed and accurate records and documentation of payroll for audit purposes in accordance with best practice and statutory requirements.
- Keep up with applicable payroll legislation to ensure compliance.
Qualifications
- Bachelor’s degree in accounting, Finance or related field
- Must have 3-5 years of experience in ADP payroll processing and benefits administration
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
- Ability to organize and complete multiple priorities with tight deadlines through the use of excellent time management and organization skills
- Experience with payroll systems (ADP), HRIS (ADP), time and attendance systems and other on-line benefit systems
- Knowledge of Employment Standards Act as it relates to payroll
- Ability to understand income tax laws and pronouncements and determine their impact on the Company’s payroll process
- Ability to determine the payroll impact (e.g., taxable benefits) for new benefit programs or changes to existing programs
- Attention to detail and accuracy is critical
- Strong analytical and problem-solving skills, especially in the area of reconciling payroll and benefit information, with the ability to interpret data into clear, concise, actionable recommendations
- Excellent verbal communication skills to be applied when responding to employee concerns regarding their payroll and benefit information
