JOB DESCRIPTION OVERVIEW 
IWPR seeks a talented and dynamic Events Manager to conceptualize, plan, and execute a wide range of IWPR events. From IWPR’s flagship Power Conference to smaller convenings and meetings, the Events Manager will be instrumental in delivering memorable events, both in person and virtual, including conferences, social gatherings, fundraisers, panel briefings, webinars, and community events. The Events Manager takes primary responsibility for the “look and feel” of all IWPR events, ensuring that every event is a high-quality presentation of the organization’s mission, vision, and values. The ideal candidate will bring exceptional organizational skills, creativity, attention to detail, and ability to thrive in a fast-paced environment, as well as experience curating and implementing a wide range of types of events.  

This position sits in the Office of the President and reports to the Chief of Staff. 

Essential Duties and Responsibilities:  

Create and execute engaging IWPR events:  

  • Develop event concepts, themes, and timelines that align with IWPR’s preferences and goals 

  • Create detailed event proposals, including budgets, timelines, and resource requirements 

  • Coordinate with designers, artists, and other creative professionals to bring event visions to life 

  • Oversee the development of promotional materials, invitations, and event collateral 

  • Prepares for and organizes live webinar events and meetings; including prepping speakers, setting up Zoom/Teams, and managing the live webinar through Q&A, works with IWPR’s Communications team to promote and publish the recording post event.  

  • Partner with Advancement team and other internal partners to support fundraising efforts and curate sponsorship opportunities 

  • Develop and manage event budget, with support from Chief of Staff and other relevant members of the Senior Leadership Team.  

  • With support from Chief of Staff and IWPR Finance, manage budget and expenses for events, negotiate and facilitate contracts with offsite venues and all vendors. 

  • Lead the planning and execution of all public and private IWPR events, including timeline, vendor sourcing and management, venue selection, catering, AV, onsite setup and breakdown, and any other logistics ensuring a smooth, vision-aligned execution 

  • Manage event workflows from inception to completion including liaising with our IWPR cross functional teams (Research, Policy, and Communications), to engage speakers, prepare invitations and develop promotional plans in collaboration with IWPR's Communications team. 

On-site Event Coordination: 

  • Oversee event setup, including venue preparation, layout design, and signage placement 

  • Monitor event progress and troubleshoot any issues that may arise during setup and execution 

  • Supervise event staff and volunteers, assigning responsibilities and providing guidance 

  • Ensure seamless event execution by overseeing registration, guest management, and program scheduling 

  • Resolve any issues or emergencies that may arise during events, making quick decisions to maintain event flow and guest satisfaction 

  • Act as the primary point of contact for clients, vendors, and attendees, providing exceptional customer service 

  • Conduct post-event evaluations, gather feedback, and implement improvements for future events 

Event follow-up: 

  • Ensure that all speakers, vendors, sponsors, and other leaders receive acknowledgements 

  • As appropriate, work with other IWPR teams to follow up with key groups of stakeholders to maintain engagement and enthusiasm from the event 

Minimum Requirements/Qualifications  

  • Bachelor’s degree preferred.   

  • At least 5 years of production experience, including convenings and brand events or equivalent experience in a related field required. 

  • Strong project management skills with the ability to juggle multiple projects and deadlines.  

  • Experience with developing and executing both in person and virtual events required with measurable outcomes.  

  • Experience leading on execution of a large (200 person) conference preference 

  • Strong team player with ability to manage relationships across teams 

  • Reliable individual with strong time management skills and ability to multitask. 

  • Strong verbal communications skills required. 

  • Kind individual with strong emotional intelligence. 

  • Demonstrated passion for IWPR’s mission and commitment to the principles of diversity, equity, and inclusion. 

 
SALARY 
This role is in a hybrid environment and is a full-time exempt position. The salary for the Events Manager is $64,334 to $80,156. The salary will be commensurate with experience. IWPR provides competitive salaries and a generous benefits package.

Vaccine Policy: IWPR has made the safety of our staff and our surrounding community a top priority. As part of that commitment, IWPR recently implemented a mandatory COVID-19 vaccination policy. This policy states that all IWPR employees, interns, and fellows, (i.e.- IWPR staff) are required to be vaccinated against COVID-19. IWPR will require selected candidates to submit proof of complete vaccination against COVID-19 prior to extending a job offer. If a candidate has a qualifying medical condition that contraindicates a COVID-19 vaccination, a medical exemption form should be requested from Human Resources.
