Job Summary of the Operations Administrator position
Integr8staff seeks a detail-oriented Operations Administrator to support with daily administrative and business operations tasks related to accounting, office duties and assisting upper management, superintendents, project managers, purchasing team and more.
Responsibilities of the Operations Administrator position
Setup and maintenance of Procore for Superintendents and Quality Control
Assist Superintendents with training (Procore, Production report)
Create Purchase order for all Operations Subcontractors
Review and approve equipment invoices
Communicates with Superintendents to update router dates
Maintain production reports
Prints weekly budget reports for superintendents and GM
Processes reimbursements for field personnel
Ensure to process job closing dates in Sage system
Partner with General Manager and coordinate foreman monthly bonuses
Coordinates superintendent bonus report
Responsible for running closed job projects and processing month end jobs
Process over / under billing weekly
Administer damages paid lists
Orders office supplies
Taking meeting notes
Support functions within Criterion (Timekeeping System)
Embraces and champions company’s core values
Other duties or projects as assigned
Requirements of the Operations Administrator position
High school diploma or GED equivalent
Continued education and training related to purchasing functions.
One or more years of clerical / administrative experience.
High proficiency with MS Office : Word, Excel, Outlook, Power Point
Must be able to use critical thinking to effectively solve issues
Good typing skills and ability to communicate clearly and thoroughly.
Uses independent judgment and discretion in prioritizing and managing situations
Ability to work independently and in a team environment.
Excellent communication skills required, both written and verbal
Ability to communicate clearly and professionally with all levels in the organization.
Detail oriented ability to prioritize with strong organization skills
Ability to understand and analyze data to make decisions
Ability to adapt to changing business needs
