What are the responsibilities and job description for the Receptionist/Administrative Assistant position at IntellecTechs, Inc.?
IntellecTechs is looking for a qualified Administrative Professional that provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
Duties and Responsibilities
- Assume receptionist duties; greet visitors, answer phone, route calls and take messages
- Maintain calendars, set up meetings and book conference rooms, as needed
- Function as a Pearson VUE test administrator
- Make copies and handle special projects
- Distribute incoming mail and prepare outgoing US Mail and express mail packages
- Update and maintain contact databases
- Maintain hard copy and electronic filing systems
- Assist staff with administrative duties as requested
- Perform backup duties for the Service Ticket Coordinator
- Other duties as required
Skills and Specifications
- Effective problem-solving skills
- Ability to interact effectively with internal and external customers at all levels
- Able to present information in forms, tables, and spreadsheets
- Should be an effectual communicator verbally as well as through writing skills
- Previous experience providing IT support in a previous position helpful
Qualifications and Requirements
Education:
High School Diploma or equivalent is required; however, some college is preferred
Requirements:
- Strong organizational skills with attention to detail
- Skilled in Microsoft Word, Excel, Outlook and PowerPoint
- Strong verbal and written communication skills
- Minimum 2 years administrative experience preferred
- Ability to thrive in a fast paced, constantly changing environment
- Ability to be flexible, patient and manage multiple projects
- Good time management skills and ability to prioritize
- Ability to be discreet and handle confidential, sensitive information
- Flexibility to work outside scheduled hours, as needed
