Summary:
We are seeking a detail-oriented and organized Procurement Specialist to join our fire protection team. This role is essential in ensuring that our projects have the necessary materials by managing purchase orders, sourcing materials, obtaining quotes, and tracking materials. The ideal candidate will work closely with vendors, and project managers to ensure timely and cost-effective procurement.
Responsibilities:
1. Purchasing & Order Management:
- Create and process purchase orders (POs) for materials and supplies needed for fire protection projects.
- Source and order materials based on project requirements, ensuring quality and cost efficiency.
- Obtain and evaluate quotes from suppliers to ensure the best pricing and availability.
- Negotiate pricing and terms with vendors when applicable.
2. Parts & Material Tracking:
- Keep accurate records of incoming parts and materials, ensuring deliveries match orders.
- Track shipments and coordinate with warehouse personnel to confirm receipt.
- Maintain a log of materials received and allocate them to the appropriate job sites.
- Work with project managers to ensure materials are available when needed for scheduled work.
3. Vendor & Supplier Coordination:
- Maintain strong relationships with vendors and suppliers to ensure timely and reliable deliveries.
- Communicate regularly with suppliers to monitor lead times and address any delays.
- Ensure compliance with company purchasing policies and procedures.
5. Miscellaneous Tasks:
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent; additional relevant education is a plus.
- Minimum 2 years previous experience in procurement, purchasing, or supply chain management (preferably in construction or fire protection).
- Familiarity with fire protection materials and equipment is a plus.
- Strong organizational skills and attention to detail.
- Ability to manage multiple orders and deadlines simultaneously.
- Proficiency in using Microsoft Office Suite (Outlook, Word, and Excel).
- Strong communication and negotiation skills.
- Strong problem-solving abilities and proactive attitude.
- Ability to multitask, prioritize, and meet deadlines.
- Familiarity with basic office equipment and technology.
- Reliable and adaptable, with the ability to work both independently and collaboratively.
