What are the responsibilities and job description for the Admin Assistant position at International Auto Processing LLC?
Essential Functions:
- Enter alphabetic, numeric, or symbolic data from source documents into computer following format displayed on screen.
- Compare data entered with source documents on screen to detect errors.
- Delete incorrectly entered data and re-enter correct data.
- Determine that all necessary information is on claim to recover all labor and parts cost.
- Keep record of work completed by accurately filing completed claims.
- Keep records of monthly account statements per manufacturer.
- Maintain a close working relationship with Body Shop and Production Shop Warranty Administrator(s) personnel.
- Maintain a safe working environment and follow all policies and procedures regarding safety.
- Maintain a clean working environment.
- Perform other duties as assigned.
- Shift: Monday-Friday 7:00am-4:00pm
Position Qualifications and Requirements:
- High school diploma or GED.
- Must have a valid driver's license.
- Must have and obtain a Transportation Worker Identification Credential (TWIC Badge).
- Must provide a 3-year Department of Motor Vehicle Report (DMV) with no more than 2 moving violations, no DUI convictions and no Reckless Driving.
- 6 months of data entry, clerical or related experience.
- Ability to understand and communicate vehicle terminology and understand vehicle body location and parts.
- Professional appearance and demeanor.
- Ability to record and verify numbers 17 characters in length.
- Ability to function within working conditions and physical requirements described above.
- Ability to work assigned hours. Including overtime and weekends as needed.
Preferred Qualifications:
- Must possess the ability to problem solve.
- Familiarity with automotive vocabulary a plus.
- Must have strong organizational skills as well as must be able to pay strict attention to detail.
- Ability to follow verbal and written instructions and to communicate clear and concise instructions to other employees.
Physical Working Attributes:
- Must be able to endure long periods of sitting with moderate walking.
- Exposed to all outdoor elements including heat, cold, rain, insects and other conditions which may exist from time to time.
- Work performed in a small, open office environment shared by several employees. Numerous interruptions and distractions are usual due to frequent contact with shop employees. Body Shop office has strong odor at times caused by paint fumes.
Working Conditions:
Primarily, an open office environment with a noise level ranging from little to moderate. Moderate contact with public and internal personnel.
