Job Summary:
The Office Manager / Compliance Manager at our third-party logistics (3PL) company plays a dual role in ensuring smooth office operations while maintaining strict compliance with retailer-specific routing requirements. This position is responsible for managing daily office tasks, onboarding new clients into our Warehouse Management System (WMS), coordinating WMS demos, and overseeing small parcel shipping operations. The Compliance Manager aspect of the role ensures that all shipments meet the requirements set by major retailers such as TJX, Burlington, Macy’s, and Ross, including proper routing, packing, and labeling. This position requires close collaboration with internal teams to resolve issues and ensure all compliance standards are met, while also providing exceptional support to clients. The ideal candidate will have a strong understanding of logistics processes, excellent organizational skills, and a proactive approach to problem-solving.
Key Responsibilities:
- Oversee daily office operations, ensuring that all administrative tasks are handled efficiently and accurately.
- Onboard new clients into the Warehouse Management System (WMS), providing necessary training and support to ensure successful integration.
- Coordinate and schedule WMS demos for potential clients.
- Work with the operations team to troubleshoot and resolve small parcel shipping errors, ensuring timely deliveries and proper documentation.
- Serve as the point of contact for client inquiries and provide exceptional customer service.
- Support the management team with additional administrative tasks as needed.
- Set up and manage routing guidelines for major retail clients (e.g., TJX, Burlington, Macy's, Ross), ensuring all routing instructions are followed accurately.
- Monitor compliance with retailer-specific portals, ensuring that all deadlines are met and compliance requirements are adhered to.
- Work closely with the operations and warehouse teams to ensure all shipments are compliant with client-specific packaging, labeling, and routing protocols.
- Ensure the timely resolution of any issues related to non-compliance with retail routing requirements.
- Track and report on compliance performance, identifying areas for improvement and implementing corrective actions when needed.
- Provide regular updates and reports to senior management regarding compliance status, trends, and potential issues.
Qualifications:
- Minimum of 2-3 years of experience in office management, logistics, or compliance management in a third-party logistics environment.
- Strong knowledge of warehouse management systems (WMS) and shipping logistics.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills.
- Problem-solving abilities and keen attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other relevant software tools.
- Ability to work in a fast-paced environment and collaborate with various teams.
Additional Skills (Preferred):
- Familiarity with small parcel shipping processes and carriers.
- Experience in training and onboarding new clients into WMS or other logistics systems.
- Knowledge of industry regulations and compliance standards for logistics and warehousing.
Salary : $60,000 - $65,000
