Role Description


We are seeking a dynamic and detail-oriented Administrative & Supply Chain Coordinator to join our team. In this role, you'll play a crucial part in ensuring the smooth operation of our supply chain and administrative processes. You will be responsible for managing everything from purchase orders to shipping documentation, and your expertise will help us maintain efficient operations and deliver exceptional service to our customers.


This role will start as part-time basis, and will transition to a full-time role in January.


Key Responsibilities:


  • Purchase Order Management: Create and process purchase orders for external suppliers with precision.

Order Routing: Route orders in alignment with customer specifications to ensure accuracy and timely delivery.

  • Documentation: File Bills of Lading and maintain all shipping documentation.
  • Order Tracking: Monitor order progress to ensure on-time deliveries and address any issues that arise.
  • Invoice Coordination: Collaborate with the accounts payable team to process invoices and complete billing for our customers.
  • Customer Communication: Provide timely updates to customers regarding the status of their orders.
  • Record Maintenance: Keep detailed and updated records of orders, suppliers, and customer interactions.
  • Inventory Verification: Verify inventory levels to ensure accuracy and readiness.
  • Process Improvement: Assist in implementing new processes to enhance efficiency.
  • Reporting: Prepare detailed reports to support decision-making and operational oversight.
  • Administrative Support: Handle various administrative tasks as needed to support overall team efficiency.


Qualifications:


  • Exceptional Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Technical Proficiency: Proficiency in Microsoft Office, particularly Excel; experience with other MS Office applications is a plus.
  • Proactive Problem Solver: Demonstrated ability to anticipate issues and develop effective solutions.
  • Logistics Management: Knowledge of logistics and supply chain management practices.
  • Team Collaboration: Strong team player with the ability to work harmoniously in a collaborative environment.
  • Attention to Detail: Meticulous and precise with an eye for detail.
  • Industry Experience: Prior experience in the retail or logistics industry is advantageous.
  • Language Skills: Fluency in both English and Spanish is required.
  • Educational Background: Bachelor’s degree in Business Administration, Logistics, or a related field.



Salary : $15 - $20
