Responsibilities:
- Administrative Support: Provide day-to-day administrative support to the real estate agents, including managing calendars, coordinating meetings, and handling correspondence
- Transaction Coordination Assistance: Assist with all administrative aspects of real estate transactions from start to finish. This includes preparing and processing contracts, client communication, gathering listing documents, and ensuring compliance with local regulations
- Client Interaction: Communicate directly with clients, vendors, and other team members to ensure all transaction details are organized and managed in a timely manner
- Database Management: Maintain client and transaction databases, ensuring that all information is current and accurate
- Document Preparation & Filing: Prepare, organize, and file important transaction documents, ensuring confidentiality and proper organization for quick access
- Scheduling & Coordination: Coordinate and attend property showings for clients, open houses, and meetings. Assist agents with weekend availability as needed
- Problem-Solving: Tackle any administrative challenges that arise, providing proactive solutions to ensure all deadlines are met
- Office Management: Assist with maintaining the office environment, including ordering supplies and keeping things organized
- Licensed Real Estate Professional in Georgia: A valid real estate license is required to ensure familiarity with the legalities and procedures of real estate transactions
- Strong Attention to Detail: Must be highly organized, detail-oriented, and capable of managing multiple priorities with minimal supervision
- Efficient and Organized: Thrives in dynamic, unstructured environments, with the ability to implement structure and create effective systems and processes from the ground up. Skilled at managing large volumes of information while ensuring precision and accuracy at all times
- Proactive and Independent Worker: Must be able to take initiative and make decisions without constant direction
- Exceptional Communication Skills: Strong verbal and written communication skills to interact with clients, vendors, and team members
- Flexible Availability: Must be available to work weekends and evening hours as necessary to support client needs and agent schedules
- Tech-Savvy: Proficiency with Google Suite, Microsoft Office, CRM systems, and real estate transaction management software is essential
- Problem-Solving Mindset: Must have a natural inclination to address issues before they arise and be solutions-oriented
- Reliable Transportation: Must have a valid Georgia driver’s license and access to reliable transportation to attend property showings, meetings, and other off-site duties as needed
- Team Player: While independence is crucial, the ability to work well with the team and contribute to a collaborative environment is important
- Prior experience in a real estate administrative role is a plus
- Familiarity with real estate management tools such as Dotloop, FMLS, Follow Up Boss, etc
