Job Title: Iowa County Fair Office Assistant (s)
Immediate Supervisor Iowa County Fair Board President
Pay Range: competitive contract
Summary: This position is responsible for community outreach including but not limited to
the organization, preparation, promotion, marketing, fund raising, and scheduling of the annual Iowa
County Fair and the fairgrounds under the supervision, advice, and approval of the Fair Board of
Directors. Position is expected to call on volunteers to help as needed. Position is expected to
conduct business in a professional manner including attitude, interactions with individuals attire.
Essential Duties and Responsibilities:
- Superintendents and Judges
- Maintain relationship with all Superintendents and see what needs they have including but not limited to:
- Ordering and maintaining awards/ribbons
- Lining up trucking for the fair
- Animal identification
- Work with Superintendents on hiring of all judges (animal & fair exhibit)
- Includes submitting to board for approval, rates, etc.
- Maintain all judge contracts and submit to Treasurer for any payments
- Prep judges boxes and all materials per judge
- Fair Book
- Edit both the Junior Fair Book and Open Class Fair Book
- Submit changes to board as needed.
- Print and distribute books
- Maintain and monitor Fair Entry System Pre and Post Fair
- DATCAP
- Coordinate and file all health papers and judge affidavits
- Submit 30 Day report
- Submit end of year fiscal year state report
- Any other reporting requirements
- Work with Treasurer on reporting as needed
- Wisconsin Association of Fairs (WAF)
- Submit annual reports and any additional required information via Sharepoint
- Exhibitors
- Send pre-exhibitor letters
- Includes pertinent information, tickets, passes, etc.
- Coordinate tags and packets
- Fair Office
- Order various tickets/passes that are needed
- Inventory, sell, and distribute various tickets/passes, etc.
- Print schedules to distribute
- Contact and line up all fair volunteers
- Data entry and record keeping as needed
- Print and send out Auction Letters
- Verify and Send out check payments
- Judges
- Exhibitors
- Open Class
- Auction
- Keep daily attendance records
- Office Hours
- Develop and adhere to established office hours prior to and during the fair
- Respond to all phone calls and voicemails
- Assist with check-ins from vendors, judges, exhibitors, etc.
- Other duties as assigned
Job Types: Part-time, Contract
Pay: $16.96 - $20.43 per hour
Expected hours: 5 – 20 per week
