Position Summary:
Responsible for the overall flow and efficiency of the front office check-in procedures. Greets each patient and portrays a positive attitude daily. Maintains up-to-date patient information and collects applicable payments. Assists each patient with appointment scheduling and portrays a positive attitude daily. Performs job duties and responsibilities in compliance with company policies and procedures. Performs other duties and responsibilities as required. This position is in our new Goodyear Location.
Essential Duties and Responsibilities:
- Must be able to type and work on a computer.
- Ability to work in a constant state of alertness and safe manner.
- Performs other duties as requested by supervisor, administrator, or physicians.
Check-In
- Greets patients as they enter in a friendly and courteous manner.
- Collects payments as requested by the Financial Counselor and walk-in payments.
- Maintains cash drawer and balances daily at mid-day and end of day close out and alerts appropriate person when cash drawer balance is at an unacceptable level.
- Balances payments at mid-day and end of each day.
- Posts patient payments into all required systems.
- Updates AOB, HIPAA, insurance as required.
- Attaches insurance cards and ID cards into patient charts.
- Runs AHCCCS eligibility prior to beginning of day’s patients.
- Informs Benefits Coordinator of any patient payment issues or insurance changes.
- Queues patient in the computer.
- Makes patient appointments.
- Notifies Authorization Department and the Financial Counselor for add on same-day appointments.
- Follows protocol for copying checks, sign-in sheets, log, etc. at the end of each day.
- Keep duplicate copy of the day’s end journal.
- Answers telephones and directs calls.
- Never leaves the window unattended except in emergency situations.
- Maintains organization of the front desk.
- Supports front office check-out procedures.
- Maintains a professional, team oriented, positive attitude.
- Copies and logs disability paperwork and distributes to appropriate staff.
- Assesses patient flow and alerts appropriate staff members as needed.
Check-Out
- Checks patients out by checking orders, giving patient appropriate paperwork, following QCL procedures and scheduling return appointments.
- Schedules chemotherapy infusions, injections and office visits for individualized patient chemotherapy calendars.
- Works with nursing staff to add, delete or change patient calendars.
- Copies and scans calendars for documentation in patient charts.
- Facilitates communication between physicians.
- Reconciles Daily Master each day.
- Supports front office check-in procedures.
- Answers telephones and direct calls.
- Maintains physician calendars and reschedules appointments when necessary.
- Maintains CCD and CMS letters daily.
- Makes daily reminder calls and documents as verification.
- Follows up with patients on missed appointments and cancellations.
- Makes patient appointments.
- Maintains a professional, team oriented, positive attitude.
Minimum Qualifications
- Knowledge of HIPAA rules & regulations preferred.
- Knowledge of insurance company’s procedures and policies preferred.
- Knowledge of governmental, legal and regulatory provisions related to collection activities.
- Knowledge of chemotherapy related drugs and supplies utilized preferred.
- Proficiency in Microsoft Office, Word, Excel and Internet.
- Ability to operate a computer and office equipment.
- Excellent customer service skills.
- Excellent verbal and writing communication skills.
- Basic mathematical knowledge.
- Must be willing to travel between office locations with reliable transportation.
Education and/or Experience:
- 1-2 years’ medical front office experience preferred.
- Medical Oncology experience preferred.
Certificates, Licenses, Registrations:
- Valid Driver’s License.
