iTeos Therapeutics is now a world-class actor in the sector. To carry on its growth and reinforce its team, iTeos Therapeutics is looking for an Executive Assistant.
ROLE: Executive Assistant
iTeos Therapeutics is seeking for a resourceful colleague that will report to the COO and will be responsible for ensuring administrative support to the Project Management/BD/Operations teams including support to some of the team based in Gosselies, Belgium. This position will function as a member of the executive administrative (EA) team who work closely together and provide back up support to one another as needed.
MAIN RESPONSIBILITIES
- Provide administrative support to ensure the efficient functioning of the Operations and Business Development teams ;
- Coordinate and organize meetings and interviews, meeting agendas and ensure follow-up within the relevant department. Assist with complicated travel arrangements in a timely and cost optimizing way, coordinating with team members within and across other teams ;
- Process incoming mails, invoices, and work with the EA team to manage office/kitchen supplies ;
- Work with EA team to coordinate weekly team lunches and teambuilding events ;
- Maintain reports and documents as required. Prepare presentations from scratch to final ;
- Be a point of contact for the office and external stakeholders ;
- Ensure that CDAs are in place as required and follow up with them accordingly ;
- Work with other Executive Assistants on logistics planning for board or other large meetings, site-related issues and general backup coverage ;
- Actively seek continuous improvement by constantly assessing internal administration procedures and proposing alternatives for better functioning ;
- Manage and assist with outreach for meetings with iTeos’ s partners and alliances.
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
- Bachelor's degree preferred with a minimum of five years of experience in a comparable position. Experience in a biotechnology or pharmaceutical environment is an asset.
- Written and spoken fluency in English is a must. Knowledge of French, Dutch or other languages are an added plus.
- Professional demeanor with the ability to communicate effectively with all levels of management, and with external contacts, both oral and in writing.
- Ability to prioritize and address both regular routine activities and unplanned emergency situations effectively.
- Ability to work independently as well as within a team.
- Cultural sensitivity and experience working across time zones
- Excellent communication, organizational and interpersonal skills.
- Proactive, sense of responsibility, anticipates issues, flexible, discrete.
- Excellent computer skills: MS Office, Intranet /Internet.
- Experience with CDA management is a plus but not required.
