Position Summary
The Division of Enrollment Management connects prospective student with opportunities and aid. We work to help them have a strong and positive start to their IU Columbus education and continue to support them through their academic career. We are the home of Admissions, Student Financial Assistance and Registrar Services. The Student Services Coordinator role is responsible for providing administrative support in various or multiple student services job functions and initiatives on campus, specifically including those supporting registrar services, in the Office of Enrollment Management. This is a part-time role intended to support the office in areas where needed.
Fundamental Responsibilities
Assist with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Perform duties such as attending a front desk, answering phones and emails, and delivering messages and mail.
Serve as a liaison to campus partners for cross departmental student services initiatives, providing information, securing space reservations, scheduling and planning meetings, and providing necessary documentation.
Provide assistance to student participants, stakeholders, faculty, and/or staff; act as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintain electronic records and databases.
Provide directions, support, and information to student organization representatives or worker and other visitors to the department.
Assist with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, and other materials.
Departmental Responsibilities
Support the Course Scheduling Coordinator in utilizing 25 Live for room scheduling for instruction.
Respond and fulfil room requests and coordinate with the Scheduling Coordinator at CLC, CBED to reserve rooms.
Process Intercampus Transfers and readmit and reinstate Returning Students.
Oversee door access requests and update door opening & closing times. Work with CLC for faculty and staff needed access after-hours.
Provide back-up for Administrative Withdrawals process.
Maintain calendars on the website by providing updates to OCM.
Undertake the outreach for annual updates to the Academic Bulletin and provide support in making changes.
Assist with the preparation of degree audit tools and program/plan stack updates.
Triage and respond to emails received to the Office of Registrar Services Mailbox.
Respond to phone calls received by Office of Registrar Services.
Process duplicate diploma requests.
Fulfil requests for Solomon Reports.
Index documents into On Base and maintain document records in IU Columbus Registrar Services Teams folder.
Attend Enrollment Management Monthly Team Meeting, Quarterly Recorders Meeting and other meetings deemed necessary.
Assist Course Scheduling Coordinator as needed.
Qualifications
Required Education:
High School Diploma or equivalent (such as HSED or GED).
Required Experience:
4 or more years in office environment, higher education, or related field relevant to work in student services.
Combinations of education and experience may be considered.
