The Temporary Part-Time Academic Advising Assistant provides critical administrative support within the Academic Advising team. This role is designed to assist the Academic Advising staff by facilitating a smooth, efficient advising process for students and contributing to the success of academic advising operations. The position combines both administrative tasks, such as managing schedules and student records, and student-facing advising assistance to ensure an exceptional advising experience. This individual will also help with general office operations within the Academic Advising department.
EXAMPLES OF DUTIES AND RESPONSIBILITIES (Illustrative only, not all-inclusive):

Administrative Support for Academic Advising:
- Assist academic advisors with scheduling advising appointments, coordinating meetings, and managing advisor calendars.
- Utilizing texting platform to send appointment confirmations.
- Help maintain and update student academic records, ensuring compliance with FERPA and confidentiality standards.
- Coordinate collecting and distributing academic advising materials to students, including forms, handouts, and communication about advising policies.

Student Engagement & Communication:
- Provide frontline support to students seeking advising services, either in-person, over the phone, or via email.
- Answer inquiries regarding academic advising processes, deadlines, and policies, directing students to appropriate resources or advising staff as needed.
- Assist with proactive student outreach to promote advising services, support retention, and encourage academic success initiatives.

Data Entry & Clerical Support:
- Assist with data entry and maintenance of student records related to advising, enrollment, retention, and academic progress.
- Perform general administrative duties, including answering phones, managing emails, filing, and coordinating departmental communications.
- Prepare and process paperwork related to advising
- Help with the development and execution of special projects related to academic advising, including student workshops or advising events.
EDUCATION AND EXPERIENCE:
- Education: An Associate degree is preferred; however, candidates with a High School Diploma or GED equivalent with at least 2 years of office experience may be considered.
- Experience: Previous administrative experience, particularly in an academic setting, is a plus. Knowledge of academic advising processes, FERPA, and student confidentiality is strongly preferred.

- Proficient in using Microsoft Office Suite and other computer software related to office and data management.
- Strong organizational skills and attention to detail, especially in maintaining accurate student records.
- Excellent communication and customer service skills, both in-person and virtually, to effectively engage with students, faculty, and staff.
- Ability to work both independently and collaboratively within a team-oriented environment.
- Comfort with handling sensitive information in a professional and confidential manner.
