Job Title: Executive Assistant to CEO & COO

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to our CEO and COO. This role is critical in ensuring smooth daily operations and enabling the leadership team to focus on strategic growth initiatives.
Position Summary:
The Executive Assistant (EA) will serve as a key support partner to the CEO and COO, handling a variety of administrative, operational, and strategic tasks. The ideal candidate is a self-starter with strong problem-solving skills, excellent communication abilities, and a high level of discretion.
Key Responsibilities:
- Administrative Support: Manage calendars, schedule meetings, and coordinate appointments for the CEO and COO. Ensure time is effectively allocated based on priorities.
- Communication Management: Handle emails, phone calls, and correspondence on behalf of the executives. Draft reports, presentations, and other business documents as needed.
- Meeting Coordination: Prepare agendas, take detailed meeting notes, and track follow-up action items to ensure accountability.
- Travel Arrangements: Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
- Project Assistance: Support special projects, research, and process improvements that enhance operational efficiency.
- Confidentiality & Discretion: Handle sensitive company and personnel information with utmost professionalism and confidentiality.
- Office Coordination: Liaise with internal teams, vendors, and clients to ensure smooth daily operations.
- Event Planning: Assist in organizing company events, team meetings, and off-site retreats.
- Document Management: Maintain organized digital and physical filing systems for critical business documents and contracts.
- Process Improvement: Identify and implement administrative process improvements to enhance workflow and productivity.
Qualifications & Skills:
- Experience: Minimum 3 years of experience as an Executive Assistant, preferably in the construction, engineering, or industrial sector.
- Education: Bachelor's degree in Business Administration, Communications, or a related field preferred but not required.
- Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools.
- Communication Skills: Excellent written and verbal communication skills with strong attention to detail.
- Organizational Skills: Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Problem-Solving: Proactive approach with the ability to anticipate needs and resolve issues independently.
- Professionalism: High level of integrity, discretion, and professionalism when handling sensitive matters.
