What are the responsibilities and job description for the Property Management Office Assistant/Receptionist position at J. Johnson Property Management?
This is a temporary position. It will run 3 months with the possibility of running longer or maybe permanent part time. The primary responsibility is to lend support to the office by assisting in the following:
1. Be the first point of contact by answering calls and greeting clients in person with a happy, energetic welcome. Check voice mails, answer emails & respond to inquiries timely. Help owners and tenants by answering general questions.
2. Schedule property showings. Manage office calendar. Post notices, meet owners, tenants & vendors as needed. Post vacant rentals to Zillow, Facebook and other outlets as needed
3. Complete filing, create, organize, update & maintain Owner, Tenant, Vendor files. Enter rents, security deposits. bills, new owners & tenants, vendors in Propertyware. Make company deposits.
5. Contact & follow up on delinquent tenant rents daily. Call previous owner to sign back up, mail marketing material on behalf of company.
6. Work with ownership & management on projects. Provide updates to management on project status, late rents, etc at our weekly meeting- communicate consistently with owners and tenant on outstanding issues. Complete weekly report.
7. Other tasks as assigned.
OTHER INFORMATION:
This is an entry level position and we will train for the right candidate. This is an in office position in the city of Tracy. Candidate must live in Tracy or immediate surrounding areas. Salary is $21.00 per hour. Shifts available are
Monday, Tuesday, Thursday & Friday 8:30 - 5:00 pm and Saturday 10:00 - 2:00 - Saturdays are mandatory for this schedule however the week days can be flexible in terms of the days worked.
REQUIREMENTS:
- Clear communication; fluent in English, preferably bilingual, Spanish
- Positive attitude.
- Driver License, Insurance & own car
- Working knowledge of iPad, iPhone, uploading documents
- Professional, Punctual, Confident, Flexible & Dependable- Able to problem solve utilizing common sense approach and training tactics without constant supervision.
- Microsoft Office a plus
- Property Management or Real Estate Exp. a plus. But not required
