We’re seeking a dedicated and highly organized Executive Assistant to support our leadership team in a dynamic, fully remote role.
Position Summary:
We are looking for a proactive, detail-oriented Executive Assistant to provide high-level administrative and operational support. The ideal candidate will be instrumental in keeping executive operations running smoothly, managing communications, coordinating calendars and events, and assisting in various areas including permitting, materials tracking, client coordination, and contract management.
Responsibilities:
- Manage and maintain executive calendars, schedule appointments, and coordinate meetings
- Plan, coordinate, and manage virtual and in-person events and meetings
- Handle clerical tasks: data entry, document filing, and maintaining digital records
- Manage contract signature processes and client/vendor introductions
- Assist clients with material selections and gather necessary signatures
- Track material orders, returns, and ensure alignment with client selections
- Maintain organized logs of selections and permitting progress
- Assist with document preparation and permitting applications
- Assist with bidding & estimating projects
- Order and return materials as needed in coordination with project teams
- Manage sensitive and confidential information with the highest level of discretion
- Communicate professionally on behalf of the executive team
- Support ongoing construction project coordination and scheduling
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative support role
- Public Notary certification (or willingness to obtain)
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive, etc.)
- Proficiency in use of chat GPT for troubleshooting or expediting tasks
- Excellent organizational, time management, and multitasking skills
- Outstanding verbal and written communication abilities
- Experience working remotely and independently with minimal supervision
- High degree of professionalism and discretion in handling confidential information
- Full-time availability with no other professional conflicts (M-F, 8:00 AM – 4:00 PM EST)
Preferred Qualifications:
- Experience supporting a construction or real estate executive/team
- Familiarity with permitting processes, vendor coordination, estimating, and trade partner/ client-facing roles
- Understanding of construction workflows and document tracking
