Executive Assistant Opportunity – New York, NY
We are working with a confidential client in search of a highly skilled Executive Assistant to support a Partner leading Investor Relations at a dynamic, fast-paced organization. This role is ideal for someone who thrives in an entrepreneurial environment, has a proactive approach, and excels at managing a wide range of administrative and operational responsibilities.
As the Partner’s right hand, you will handle critical tasks including calendar management, travel coordination, expense tracking, and occasional support on Investor Relations projects. The ideal candidate will be exceptionally organized, discreet, and adept at handling time-sensitive priorities independently.
Location: This position is based in New York, NY, with in-office expectations Monday through Thursday.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative support to the Partner overseeing Investor Relations, acting as a trusted point of contact for internal and external stakeholders.
- Calendar Management: Manage and prioritize the Partner’s schedule, ensuring meetings are effectively planned, agendas are clear, and all necessary materials are prepared.
- Travel Coordination: Arrange and adjust complex domestic and international travel itineraries with minimal notice, ensuring seamless execution of all logistics.
- Expense Management: Prepare accurate and timely expense reports, ensuring compliance with company policies.
- Investor Relations Support: Assist with projects such as preparing materials for investor meetings, compiling reports, and conducting research.
- Event Coordination: Help plan and execute Investor Relations events, including annual meetings, by managing logistics, venues, attendees, and presentation materials.
- Confidentiality: Maintain the highest level of discretion when handling sensitive information related to investors and the company’s portfolio.
- Project Management: Take the lead on ad hoc administrative projects or Investor Relations initiatives, delivering results with minimal oversight.
- Collaboration: Partner with other Executive Assistants to ensure seamless operations across the firm.
Key Qualifications:
- At least 5 years of experience in a similar administrative role supporting senior executives, preferably in financial services or a high-pressure corporate environment. Experience in Investor Relations is a strong advantage.
- Exceptional organizational skills and the ability to manage complex calendars and competing priorities.
- A proactive, self-starter mentality, with the ability to anticipate needs and work independently.
- High attention to detail, ensuring accuracy and thoroughness in all tasks.
- Strong written and verbal communication skills, with polished email and telephone etiquette.
- Excellent interpersonal skills, fostering positive relationships with colleagues and external stakeholders.
- Proven ability to maintain strict confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and the adaptability to learn new tools as needed.
- A bachelor’s degree is preferred.
