Duties
- Answer and direct phone calls using a multi-line phone system, ensuring all inquiries are handled promptly and professionally.
- Maintain an organized filing system for both physical and digital documents, ensuring easy access to important information.
- Perform data entry tasks accurately and efficiently, updating records as needed.
- Provide administrative support to staff members, acting as a personal assistant when required.
- Utilize Google Suite applications for document creation, scheduling, and communication purposes.
- Manage office supplies inventory, placing orders as necessary to ensure the office is well-stocked.
- Assist in coordinating meetings, including scheduling appointments and preparing necessary materials.
- Maintain a clean and welcoming reception area for clients and visitors.
Qualifications
- Proven experience as a receptionist or in an administrative role is preferred.
- Proficiency in computer literacy with experience using office software, particularly Google Suite applications.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills are essential for interacting with clients and team members.
- Familiarity with phone systems and basic clerical duties is advantageous.
