Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The Executive Assistant coordinates, manages and actively participates, in the day to day operations of the Administration Office and acts as primary liaison for the President and CEO; CFO and the management team as deemed appropriate. In addition to typing, filing and scheduling, performs duties such as financial record keeping, payroll, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Responsible for managing highly confidential and sensitive information on a daily basis. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

JOB DUTIES / RESPONSIBILITIES:
1. Performs all duties and responsibilities in a fashion which coincides with the Mission of the JAA.
2. Serves as primary liaison for the President and CEO and CFO as to the day to day operations and provides support to other departments as requested or assigned.
3. Performs administrative tasks by conducting research and preparing and coordinating reports and projects. Communicates instructions or decisions to various individuals within the facility as well as to the outside community.
4. Provides support, preparation and typing of all daily correspondences, sets up meetings and maintains calendar for Administrative staff.
5. Interacts with community leaders, board members and other individuals. Often handles highly sensitive and confidential information.
6. Organizes meetings, helps in preparing and distributing agendas, minutes and other pertinent material for the Board of Directors and other committees within the JAA.
7. Maintains an accurate filing system.
8. Coordinates the usage of the conference rooms within the facility.
9. Maintains office supplies; equipment maintenance and postage machine for the executive suite.
10. Manages payroll for the executive office suite and designated staff. Provides necessary reports to management team for necessary tracking.
11. Receives and responds to all incoming calls to the Administrative Offices.
REQUIRED EDUCATION, TRAINING AND EXPERIENCE:
- Associate Degree and/or at least five (5) years secretarial experience in administration and five (5) years supervisory experience.
REQUIRED SKILLS AND ABILITIES:
- Requires exceptional typing skills and strong command of the English language.
- Operation of computer and knowledge of Microsoft Word and Excel is a plus.
- Must have excellent communication and organizational skills.
- Must be able to work independently, good supervisory skills and ability to establish priorities.
- Well organized, computer literate and possess an in-depth knowledge of office procedures.
- Must have the ability to concentrate on numerous projects and work quickly and accurately.
- Must communicate effectively both orally and written and compose responses on behalf of the President and CEO and/or the CFO.
- Accountable for promotion of good public relations and service of excellence with staff, residents and the community.
- Ability to maintain confidentiality.
Job Types: Full-time, Part-time
Pay: $45,000.00 - $54,000.00 per year
