The Office Manager will drive inventory operations to ensure customer needs are being met. Key components of this position will be providing instruction and direction for the shipping and receiving team. Strong attention to detail and organization are keys for success in this role. This role will report to the [Controller?].
Responsibilities will include but not be limited to:
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Facilitate incoming calls and internal communication. Manage phone system and provide training.
- Oversee all physical facility needs (point person on IT, HVAC, security)
- Maintain list of all service providers and engage when needed.
- Assist with AR/AP including scanning, filing and data entry including hours for payroll.
- Coordinating client meetings/tours including catering and other arrangements.
- Monitor office supply levels and reorder as necessary
- Assist with onboarding new employees, managing employee time and attendance, ensure training is completed, and address teammate needs/requests.
- Ensure security, integrity and confidentiality of data
- Maintain visitor log
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Maintain historical records via filing/scanning documents.
- Support/assist with customer service
- Assist other areas and teammates during work surge periods (shipping, delivery, deburring etc.)
- Ensuring adherence to company policies, safety regulations, and legal requirements.
- Assist with managing FastBound tracking and ATF requirements
Qualifications:
- 3 years of office management experience preferred.
- Effective verbal and written communication skills.
- Experienced with office software including Word, Excel, PowerPoint, email, calendar applications, and project management tools.
- Ability to prioritize tasks, manage multiple projects simultaneously, and maintain detailed records.
- Excellent problem-solving skills and attention to detail.
