Job Description: Administrative Assistant
Reports To: Director
Supervises: No Supervisory Responsibilities
Overview: The Administrative Assistant provides comprehensive administrative support to ensure efficient and productive functionality within the office while performing the following duties in a confidential and professional manner.
Key Responsibilities:
· Providing basic administrative support to various departments including answering phone calls, creating and distributing documents, maintaining electronic files, processing mail, manual filing, etc.
· Maintaining databases and generating associated reports
· Implementing financial processes and procedures such as invoicing and bookkeeping tasks
· Coordinating meetings and appointments to include organizing schedules and facilitating preparation in a proactive and timely manner
· Assisting with managing office supplies to ensure appropriate inventory
· Maintaining the office in an organized and professional manner
· Other duties as assigned
Qualifications:
Required:
· Supportive of the mission of the John Paul II Manor
· Able to satisfactorily complete applicable background checks and training
· Associate’s degree in business or related field and two years of practical experience or five years of experience within an office setting
· High level of practical experience with technology to include Google Workspace and QuickBooks
· Proficient attention to detail to ensure accurate information
· Exceptional time management, multitasking and organizational skills with the ability to prioritize workload in order to administer responsibilities in an efficient and timely manner
· Ability to work both independently and collaboratively with a team
· Excellent verbal and written communication skills
· Ability to maintain high levels of confidentiality, professionalism and integrity
· Capable of presenting a professional appearance
· Ability to work the required schedule of the position
Working Conditions
FLSA Status: Hourly non-exempt
Work Status: Full-time
Physical Requirements: Lifting up to 25 pounds; sitting and/or standing for
extended periods of time; walking short distances; repetitiously using keyboard
Hours Per Week: 40
Hours of Work: Monday-Friday; 8:00am-4:30pm with a 30-minute unpaid lunch period
Other: Must submit a timesheet according to payroll schedule. Hours over 40 must have prior approval by director. This position is not considered to be remote status.
Job Type: Full-time
Pay: $18.01 - $19.13 per hour
Expected hours: 40 per week
