The Town Membership Coordinator plays a key role in supporting the Town Membership Director in the day-to-day operations of the membership department. This position is responsible for managing member inquiries, processing new member applications, maintaining accurate membership records, and assisting with member events and communications. The ideal candidate will be highly organized, detail-oriented, and able to provide exceptional service to both current and prospective members.
The Membership Coordinator is responsible for:
- Assist in processing new member applications, including verifying eligibility, preparing necessary documentation, and facilitating the membership approval process.
- Maintain up-to-date records in the membership database, ensuring all member information is accurate and current.
- Coordinate and execute member communications, including monthly newsletters and event invitations.
- Respond promptly to inquiries from current and prospective members regarding club services, events, and membership benefits.
- Support the Town Membership Director in planning and executing member engagement initiatives and events.
- Assist in the preparation and coordination of member orientations, welcome packets, and club tours for new members.
- Monitor and track member satisfaction through surveys and feedback to enhance the member experience.
- Manage and process membership dues, fees, and renewals.
- Support the Town Membership Director in implementing membership retention strategies.
- Maintain accurate and up-to-date standard operating procedures (SOPs) for the Town Membership department.
- Perform general administrative duties, including filing, data entry, and preparing reports as needed.
Requirements
· Proven experience in a membership, member and client relations, customer service, or administrative role (preferably within a club or high-end hospitality environment).
· Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
· Excellent written and verbal and interpersonal communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Creative Suite, and experience with membership management software.
o Working knowledge of Northstar and Hubspot preferred.
· Results- and Detail-oriented with strong problem-solving abilities.
· Ability to work well independently and as part of a team.
· Professional demeanor, highly motivated, and ability to interact with high-level members and guests.
· Flexibility to work evenings and weekends as needed for events and special occasions.
Physical Requirements:
- Ability to sit or stand for extended periods.
- Ability to lift and carry materials for events (up to 25 pounds).
Compensation and Benefits:
· This is a full-time, non-union, hourly position with a range of $21-$24 per hour based on experience, plus holiday discretionary bonus.
