As an Executive Assistant in our Endowments and Foundations business, you will need to work well in a team environment, have strong organizational skills, and decision making capabilities.  This is your chance to showcase your flexibility to work in a fast-paced dynamic environment.

Job responsibilities

  • Maintain complex and detailed calendars, including scheduling appointments and prioritizing sensitive matters
  • Manage the coordination and logistics of both internal and external meetings including scheduling, guest pre-clearance, and ordering catering
  • Arrange and coordinate complicated domestic and international travel, including meeting coordination.  Must be able to proactively plan out logistics of client meetings, ensuring ample travel time between meetings  
  • Process invoices, pre- and post-compliance approvals, and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
  • Produce high quality emails and messages showcasing strong verbal and written communication abilities to effectively interact with executives, clients, and internal stakeholders.

Required qualifications, capabilities, and skills

  •  At least five years of administrative experience
  •  Advanced organizational skills, ability and instinct to connect dots and escalate issues as required
  •  Discretion and good judgment in confidential situations, and proven experience interacting with senior management
  •  Strong interpersonal, written, and oral communication skills
  • Ability to manage competing priorities i.e. calendar management

Preferred qualifications, capabilities, and skills

  •  Experience supporting at the Managing Director level (or equivalent) or above
  • Familiarity with corporate protocols and procedures
  •  College degree is a plus

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
