As an Executive Assistant in our Endowments and Foundations business, you will need to work well in a team environment, have strong organizational skills, and decision making capabilities. This is your chance to showcase your flexibility to work in a fast-paced dynamic environment.
Job responsibilities
- Maintain complex and detailed calendars, including scheduling appointments and prioritizing sensitive matters
- Manage the coordination and logistics of both internal and external meetings including scheduling, guest pre-clearance, and ordering catering
- Arrange and coordinate complicated domestic and international travel, including meeting coordination. Must be able to proactively plan out logistics of client meetings, ensuring ample travel time between meetings
- Process invoices, pre- and post-compliance approvals, and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines
- Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
- Produce high quality emails and messages showcasing strong verbal and written communication abilities to effectively interact with executives, clients, and internal stakeholders.
Required qualifications, capabilities, and skills
- At least five years of administrative experience
- Advanced organizational skills, ability and instinct to connect dots and escalate issues as required
- Discretion and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Ability to manage competing priorities i.e. calendar management
Preferred qualifications, capabilities, and skills
- Experience supporting at the Managing Director level (or equivalent) or above
- Familiarity with corporate protocols and procedures
- College degree is a plus
