Job Summary:
The Quoting Specialist plays a crucial role in the client engagement process by managing the data preparation and quoting workflow. This position is responsible for gathering and refining the necessary data to procure competitive insurance quotes from carriers. The specialist ensures timely processing and analysis of quotes, effectively communicates these details to both internal teams and clients, and participates in the development of quoting strategies with the goal of maximizing the agency’s profits and goals.
Primary Duties and Responsibilities:

Data Management: Collect and cleanse data, such as census data and renewal lists, required for obtaining insurance quotes for current and prospective groups.- Communication: Liaise with carrier representatives to send out quote requests and follow up to ensure timely receipt of quotes.
- Record Keeping: Maintain up-to-date contact information for carrier representatives, manage template documents, and update notes and documents pertaining to carrier underwriting guidelines and standards.
- Renewal Tracking: Monitor renewal timelines and manage the quoting process for all groups due for renewal.
- Collaboration: Work closely with account teams to determine specific quoting needs for each client and, upon receipt, review/analyze the quoting results with the account teams.
- Analysis and Reporting: Analyze received quotes, translate insurance proposals into standardized spreadsheet formats for presentation, ensuring accuracy and clarity.
- Quality Assurance: Ensure the final presentation materials are accurate and meet company standards.

Skills and Qualifications:
Attention to Detail: High level of accuracy and attention to detail in data management and analysis.- Analytical Skills: Ability to interpret complex insurance documents and translate the information into client-friendly formats.

- Technical Proficiency:
Intermediate-plus proficiency in Microsoft Office, particularly Excel, capable of utilizing complex formulas, formatting tools, and maintaining the integrity of data and layouts in client presentations.
Skilled in managing email communications to company standard and performing efficient typing and ten-key data entry, ensuring accuracy without the need for visual checks.
- Industry Knowledge: Understanding of insurance products and quoting processes is advantageous.
- Adaptability in Learning: Ability to quickly learn and retain procedures for various systems, including both internal and external platforms such as carrier quoting sites.
Work Experience Required for this Job:
- Minimum one year of Insurance experience required or on the job training
Education Required for this Job:
- Bachelor’s Degree preferred but not required.
Attendance Requirements:
- Daily online attendance required in remote work environment during normal business working hours
- In-person and/or hybrid attendance occasionally required for company and/or team meetings or onsite visits to clients as required
- The Company reserves the right to require in-person attendance at the Company’s worksite at any time. The Company also reserves the right to make full-time attendance at the Company’s worksite an essential job function for this position if attendance becomes necessary to increase productivity, to develop teamwork, to conduct training, to better address customer needs, or to accomplish any other valid business goal. If full-time attendance requirements for this position materially change, the Company will provide thirty (30) days’ prior notice of the change.
Position Type/Expected Hours of Work:
- This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
- Core business hours are 8:00 a.m. to 5:00 p.m. but the employee’s schedules are at the discretion of the supervisor and dependent on the needs of the business.
Travel:
- Travel is not commonly required for this job, but could occasionally be required as needed.
