The Position: Junior Achievement of New Jersey (JANJ) is seeking a skilled Executive Administrative Assistant to deliver efficient secretarial and administrative support in a well-organized and timely manner. This role reports to the President & CEO, handling various tasks to streamline work and communications, ensuring organizational operations run smoothly. Responsibilities will range from managing schedules and correspondence to organizing meetings and materials and maintaining confidentiality. The role requires an individual who is proactive, detail-oriented, and possesses exceptional organizational and communication skills.
Work Hours: 8:30am to 4:30pm or 9:00am to 5:00pm
Responsibilities:
- Maintain the President’s calendar, arrange meetings and appointments and provide reminders
- Undertake the tasks of receiving calls to main office number, taking messages and routing correspondence
- Monitor and maintain necessary office and program supply and equipment inventory
- Produce reports, presentations, and minutes for board and committee meetings, and as needed
- Maintain / update documentation and digital filing system, including bank deposits and other activities as assigned
- Serve as the liaison with building owners and coordinate all site vendors (e.g., cleaning, waste management, IT)
- Make travel arrangements for all staff as directed
- Manage monthly expense reports and credit card receipt tracking
Requirements & Skills:
- Proven experience as an Executive Administrative Assistant or in another administrative position
- Two or four-year college degree preferred, or three to five years of experience
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficiency in English
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Strong attention to detail and accuracy
- Discretion and confidentiality
- Occasional events and meetings held outside of traditional workday hours (e.g., special events and board meetings)
