About the Opportunity
Kalamazoo Valley is seeking a part-time Office for Student Access Specialist as part of the college’s Learning Center. The individual in this position will support the maintenance of databases, record storage, confidential documentation and compliance for the Office for Student Access.
Specific Responsibilities of this Position Include:
- Use of various online systems and other college data sources to record, verify and coordinate documentation for completion of files and other data and audit information required for compliance such as ADA, 504, FERPA, Perkins Special Populations, and government/private subpoenas.
- Create and build new databases and logic structure when needed to ensure data systems are accurate, efficient and available to authorized users.
- Follow existing process for contacting students new to the Office for Student Access and coordinates student intake process and recommends improvements as necessary.
- Ensure confidentiality data security, integrity and access.
- Generate, send and track communications including student surveys and grant or scholarship opportunities.
- Record and update data and reports, confirm documentation, complete student files, and generate reports to track retention and graduation.
- Coordinate and monitor auxiliary accommodations and services including mass communications, reader services, scribing, testing accommodations, training materials, workshops and national association educational opportunities.
- Perform record keeping and data creation for notification to faculty of student accommodations.
- Participate in department meetings and collaborate with counselors and advising staff to design new features, troubleshoot issues, assess outcomes and make recommendations for improvement.
- Create training documentation and guidelines for users.
Minimum Qualifications:
Appropriate education, training, experience and talents are required. An example of this would be an Associate degree in a related field and two years of experience supporting students.

- Skill in the use of computers and software applications related to the essential functions of the job.

- Skill in working with a variety of software systems such as Salesforce, Banner, Access, Excel, Word.
- Skill in creating and maintaining databases.
- Ability to identify and resolve problems in a timely manner.
- Ability to work independently with minimal supervision.
- Ability to establish and maintain effective working relationships with other personnel and the public.
