JOB SUMMARY:
The Executive Sales Assistant will provide comprehensive administrative and sales support to the executive team, ensuring efficiency in daily operations. The ideal candidate is highly organized, possesses exceptional multitasking abilities, and demonstrates a commitment to outstanding customer service.
KEY RESPONSIBILITIES:
Order Management & Client Support
- Process and track customer orders, invoices, and product shipments to ensure timely fulfillment.
- Maintain and update customer accounts, records, and purchase history with accuracy.
- Follow up with clients on order status, product inquiries, and reorders, ensuring a seamless experience.
- Assist in handling returns, exchanges, and order modifications as needed.
Sales Assistance & Growth Support
- Prepare and organize quotes, pricing details, and product presentations for clients.
- Research and identify new business opportunities while maintaining strong relationships with existing accounts.
- Reach out to previous customers and prospective clients to introduce new products and promotions.
- Track and report performance metrics, trends, and customer insights to help improve sales strategies.
Communication & Coordination
- Serve as a point of contact between customers and internal teams to resolve questions and provide product recommendations.
- Handle email and phone inquiries professionally, offering knowledgeable guidance on products and services.
- Work closely with the inventory and fulfillment teams to coordinate smooth order processing.
Operational & Administrative Support
- Maintain internal databases, order systems, and client profiles, ensuring up-to-date information.
- Assist in organizing meetings, schedules, and key follow-ups for leadership and team members.
- Prepare reports, summaries, and presentations based on order trends, customer interactions, and market feedback.
QUALIFICATIONS:
- Proven experience in a role that requires high attention to detail, order management, or client interaction.
- Strong communication skills with a professional and friendly approach.
- Exceptional organizational abilities, with the capability to handle multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and familiarity with CRM or order management software.
- Self-motivated problem solver, able to anticipate needs and ensure smooth processes.
- Must pass a drug screening and background check.
BONUS QUALIFICATIONS (A PLUS, BUT NOT REQUIRED!):
- QuickBooks experience
- Bilingual (English/Spanish) skills
- Experience handling client accounts, order fulfillment, or customer transactions
