What does the Administrative Assistant do?

The Administrative Assistant in our St. Cloud, Minnesota location is primarily responsible for ensuring smooth daily operations of our office in St. Cloud while also coordinating the needs of our satellite office in St. Michael. This role includes answering and directing phone calls, greeting, and assisting clients and team members, and managing office supplies, equipment and calendars. The Administrative Assistant also handles onsite technology needs, and various administrative tasks to ensure an efficient and welcoming office. Candidates for this role will demonstrate strong organizational skills and the ability to work independently while also providing world class service to our clients and team members.

Position Responsibilities:

Front Desk Responsibilities & Administrative Responsibilities (40%)

  • Greet clients in our lobby with a professional and friendly manner and ensure high-quality customer service.
  • Answer and direct phone calls across all locations in coordination with other office managers and first points of contact.
  • Log mail and checks per compliance regulations and distribute to appropriate personnel.
  • Handle sensitive client information with the highest level of confidentiality.
  • Perform general administrative tasks as assigned, including faxing, scanning, coordinating with office vendors, ordering lunches, etc.
  • Reliably adhere to the work schedule of Tuesday through Thursday 8:00 am to 5:00 pm, and Friday 8:00-3:00 with a 30-minute lunch break and company holiday schedule (following the NYSE holiday calendar).
  • Responsibilities may evolve over time to meet the needs of our clients and will include other duties as assigned.

Office Operations Responsibilities (30%)

  • Maintain neat, orderly, and welcoming, lobby, conference rooms, and other common spaces.
  • Maintain and stock office supplies, client refreshment station, and kitchenette.
  • Manage facility needs. Includes: coordinate with vendors, manage bill payments, and identify and coordinate location improvements.
  • Manage the onsite technology needs: Ensure rooms and workstations are properly set up and aligned with KWA technology standards, collect and troubleshoot technology issues for team members, coordinate technology support with Ameriprise support, and office vendors (e.g., for print services, internet, etc.).
  • Maintain onsite compliance records and act as the location’s point of contact for compliance inspections.
  • Support applicable office management responsibilities of other KWA locations that are without designated support and/or in a backup capacity for other Business team members.
  • Responsibilities may evolve over time to meet the needs of this location and the department and will include other duties as assigned.

Miscellaneous (25%)

  • Leverage your perspectives and talents to support company goals and projects
  • Find new ways to increase the efficiency and effectiveness of our growing business
  • Support practice & department-level projects and initiatives, which may include marketing activities, mass mailings, data entry, etc.

Marketing Support Responsibilities (5%)

  • Support marketing manager in organizing and preparing for various local events. Includes: vendor coordination, gathering/preparing supplies, attending meetings, tracking certain data, etc.
  • Support on-site execution of local marketing events led by advisor, events may take place outside of normal schedule.
  • Responsibilities may evolve over time to meet the needs of our clients and will include other duties as assigned.
