We are seeking a proactive and highly organized Executive Administrator to support our executive team.
As our Executive Assistant, you will play a pivotal role in ensuring the executive’s time is maximized, and the company’s operations run smoothly. The ideal candidate will have a strong blend of organizational, strategic, and communication skills.

Key Responsibilities :
Executive Support : Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and meeting coordination.
Communication : Serve as a primary point of contact between executives and internal / external stakeholders. Prepare and manage correspondence, reports, and presentations.
Confidentiality : Handle sensitive information with discretion and maintain confidentiality.
Team Collaboration : Work closely with other administrative staff and team members to support company-wide initiatives and ensure seamless operations.
Event Coordination : Coordinate and plan high-profile events, meetings, or conferences, both internally and externally, working with various teams for flawless execution.
Meeting Management : Work closely with executive leaders to schedule, coordinate, and facilitate meetings, including note-taking, agenda building, and follow-up.
Travel Arrangements : Organize complex domestic and international travel itineraries, including booking flights, accommodations, and arranging for ground transportation.
Expense Management : Track and process expense reports, purchase requisitions, and executive budgets.
Board Meetings & Management : Manage and prioritize the executive's daily, weekly, and monthly schedules, including handling a high volume of emails, calls, and communications.
Performs other related duties as assigned.
Qualifications :
Experience : 5 years of experience as an Executive Assistant, with at least 2 years supporting C-suite executives (CEO, CTO, CFO, etc.). Experience in a mid-size company, preferably in a fast-paced, innovation-driven environment (tech, healthcare, creative industries, etc.). Strong background in managing complex, high-stakes schedules and priorities.
Skills : Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
Communication : Excellent written and verbal communication skills, with a keen eye for detail. Ability to work cross-collaboratively with internal and external stakeholders, teams, investors, and clients.
Technology : Proficiency in Microsoft Office Suite, G-Suite, and project management software (Asana, Trello), and ability to learn new tools quickly.
Adaptability : Ability to thrive in a rapidly changing environment and manage multiple priorities with a proactive approach.
Problem-Solving : Strong analytical skills and a solutions-oriented mindset.
Education : Bachelor’s degree in Business Administration, Communications, or a related field preferred. Professional certifications such as CAP (Certified Administrative Professional) are a plus.
