Part-Time Receptionist/Administrative Assistant: Keller Rohrback L.L.P., nationally recognized law firm, is seeking to hire a part-time Receptionist/Administrative Assistant for its Portland office. Hours for this position are Tuesday-Thursday, from approximately 9:00 a.m. – 2:00 p.m. or 10:00 a.m. – 3:00 pm (hours may be flexible). Additional hours may be available to work during holiday breaks. We are seeking an individual who is extremely dependable, a team player, is optimistic and positive by nature, and has a strong desire to learn from our office team.
Essential Job Duties:
- Prepare and maintain working notebooks for case teams.
- Greeting clients, guests, and vendors; and validate parking as appropriate.
- General office duties, including filing, mail, faxes, deliveries, copy and scan projects.
- Maintain clean, comfortable, and organized reception desk and lobby space.
- Follow office closing procedures at end-of-day to secure office environment.
- Complete a variety of administrative tasks as requested.
- Inspect and ensure that all copy rooms, conference rooms, kitchens and other common spaces throughout the office are clean, stocked with supplies and ready for continual use.
- Maintain neatness and organization of reception and client waiting areas.
- Ensure requests for the set-up and use of meeting rooms are handled accurately and proactively.
- Place orders for food and beverages for use during meetings and firm events as requested.
- Organize and distribute kitchen supplies.
- Arrange for maintenance and repairs of hospitality equipment (Kitchen equipment, vendor provided items).
- Act as liaison with building and facilities management.

- Ability to take initiative and work independently with minimal supervision.
- Sound problem-solving skills.
- A keen eye for the details.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook);
- Developed a reputation for being accurate, dependable, efficient and proactive.
