The Elite Client Experience Coordinator Role
This role is critical to the brokerage's ability to provide a seamless, high-quality experience to its agents and clients. As the operational backbone of our brokerage, you will ensure seamless day-to-day functions while delivering an elevated client and agent experience.
Key Responsibilities
- You will serve as the primary point of contact for agents, clients, and visitors, maintaining a professional and welcoming atmosphere at all times.
- You will efficiently manage inbound communications, including phone calls, emails, and in-person inquiries, ensuring timely and accurate responses.
- You will facilitate a high-touch client experience, anticipating needs and proactively addressing concerns.
Transaction & Listing Coordination
- You will assist agents with transactional processes, ensuring all required documentation is submitted accurately.
- You will coordinate listing management, including MLS input and broker loading.
- You will monitor and track contract deadlines, compliance requirements, and brokerage policies to ensure smooth transaction flow.
Office Operations & Administrative Oversight
- You will maintain brokerage efficiency by overseeing office supply inventory, equipment maintenance, and workspace organization.
- You will schedule and coordinate meetings, training sessions, and company events, ensuring seamless execution.
- You will assist in onboarding new agents, providing them with essential tools, technology access, and procedural training.
Technology & CRM Management
- You will manage and update brokerage CRM systems, ensuring accurate and up-to-date agent and client records.
- You will support agents in navigating brokerage technology platforms (e.g., BrokerBay, Dotloop, Skyslope, MLS systems).
- You will leverage automation and workflow tools to enhance operational efficiency and communication.
Marketing & Communications Support
- You will collaborate with the marketing team to execute email campaigns, social media content, and event promotions.
- You will distribute internal communications, ensuring agents remain informed of market updates, training opportunities, and company initiatives.
Performance Expectations
- You will maintain exceptional attention to detail and ensure all tasks are completed with accuracy.
