Purpose

Coordinators are leaders responsible for the growth of our store and service to our customers. The Inventory/Receiving Coordinator supports the Fresh and Retail departments. They oversee the receiving department, employees, and loading dock; process invoices; drive risk management in the receiving areas; and overall support the store to maximize sales goals. They serve as a key holder and coordinate staff/resources to support customer needs and delight them in their shopping journey. They supervise their team to maintain organization and tidiness in receiving areas. Our store promotes teamwork, empowered customer service, and Co op culture. We operate within a cooperative business model of ownership by the community, and we follow our Ends Goals.  


Essential Responsibilities and Functions

RECEIVING, PURCHASING & PRICING

  1. Proactively work with Managers/Coordinators to set up inventory in the point of sale system.
  2. Supervise the organized distribution of inventory for sale.
  3. Prepare storage areas for incoming deliveries.
  4. Coordinate daily organization, and securing the receiving area.
  5. Responsible for safety awareness and utilizing safe work practices at all times
  6. Direct unloading for most efficient use of labor.
  7. Expedite stocking of incoming overstock items.
  8. Rotate overstock into storage in an orderly fashion.
  9. Maintain a floor plan in the storage area, and ensure others are aware of the plan.
  10. Facilitate unloading and check in of regular truck deliveries according to procedure.
  11. Check packing slips/invoices compared to products delivered for cost, size, description, department, taxes, discounts, and deposits; communicate discrepancies to department buyers to ensure reception of orders and obtain credits from suppliers.
  12. In absence of department head, see that un-saleable items are written off and disposed of properly.
  13. Edit item data to correct errors found while processing invoices.
  14. Forward invoices after processing to the Finance department.
  15. Maintain accurate pricing for profitability. Work with Coordinators and Managers to ensure accurate costs, margins, and data in the Point of Sale (POS) system.
  16. Supports ordering through the Inventory/Receiving system, ECRS.
  17. Conducts monthly Co op Basics Program audits.
  18. Conducts margin audits regularly

 

MERCHANDISING & PROMOTIONS

  1. Supports buyers through Flash Sales, price changes and new item entry. 
  2. Supports strategic or replenishment purchases as directed.
  3. Follows store floor plan and strategically utilizes end-caps and display areas.
  4. Supports POS entry associated with category resets according to store wide plans.
  5. Supports ordering of sufficient merchandise to stock sets for duration of display.
  6. Works with Marketing and Sales and Operations Manager to ensure accurate, up-to-date product signage is available.
  7. Attends trade shows as assigned; reads industry and trade journals.
  8. Visits other stores for receiving, price comparison, product and merchandising ideas.
  9. Provides product information to customers and staff as necessary.

CUSTOMER SERVICE

  1. Role models outstanding internal and external service.
  2. Ensure department’s completion of daily and periodic cleaning tasks.
  3. Works with systems to improve customer service, guidelines/processes for buyers, and special ordering. 
  4. Set aside special orders, match products with special order forms.
  5. Upholds and models Customer Service Pledge.
  6. Supports inventory to help with offering samples and product information to customers.
  7. Maintains familiarity with all areas of the store in order to assist customers and buyers.
  8. Communicates needs of Owners and customers to Coordinators and Managers.

DEPARTMENT OPERATIONS

  1. Works with all levels of Co-op staff in a manner that supports department financial performance.
  2. Takes training as designed for the position, and suggests/oversees training plans for staff.
  3. Keeps accurate records.
  4. Leads periodic inventory counts, 4 times/year.
  5. Follow or develop receiving SOPs to verify quantity, quality and accuracy of orders received. 
  6. Keep price-marking and case-cutting equipment in working order.
  7. Ensures that department areas (coolers, aisles, shelves, etc.) are in clean, orderly condition meeting Health Department and customer service standards.

OPERATIONS MANAGEMENT

  1. Attends meetings as assigned.
  2. Accountable for departmental and store-wide communication practices. 
  3. Role models and utilizes systems/processes that streamline efficiencies within the co-op; accepts changes, and adapts to the changing needs of the business.
  4. Maintains correspondence with staff, vendors, customers, and Owners on behalf of the co-op for department and store in general through email, phone, etc. 
  5. Maintains team and departmental information on shared drives and follows organizational protocol for use of calendars, schedules, and other technology.
  6. Assists with the growth and development of Keweenaw Co op, including problem solving and process improvement.
  7. Communicates and coordinates departmental needs with Managers and Coordinators.
  8. Adheres to the Staff Agreement.
  9. Supports decisions made by the Support Team.
  10. Strives for continuous improvement.

LEADERSHIP

  1. Accountable for area personnel and assisting with human resources, including, but not limited to: 
    1. Performance reviews.
    2. Completion of training checklists and training programs.
    3. Coordination of work for staff as they move throughout the specialty area.
    4. Scheduling of staff, assisting with break coverage, and payroll review. 
    5. On the spot coaching for staff relating to receiving and Inventory/Receiving and co-op expectations.
  2. Completes store checklists on a scheduled basis.
  3. Role models conflict resolution and safety procedures.
  4. Models and works to ensure honest and open lines of communication among all staff.
  5. Models supportive and participative leadership; promotes team building and empowerment.
  6. Communicates in a clear, direct, and respectful manner.
  7. Complies with established policies, procedures, customer service standards and guidelines.
  8. Models organizational service goals and standards.

Requirements

 

Working Conditions

  • Frequently performs work in a retail grocery store and office environment.
  • Works in temperature extremes (walk-in freezer, frozen or hot parking lot, hot kitchen, etc.).
  • Utilizes hand trucks, pallet jacks, grocery carts, box cutters, electronic ordering devices. 
  • Utilizes office machines, cash registers, tablets, computers, fax machines, scanners, photocopiers, telephone and intercom systems.
  • Utilizes multiple systems of communication and data storage, including, but not limited to, G-Suite, GMail, Google Calendars, Payroll software, etc.
  • May come into contact with hazardous materials in relation to cleanliness of the store.
  • Moderate noise level.

MINIMUM QUALIFICATIONS

  • High School Diploma or equivalent. 
  • At least one year of experience in an area of specialization, particularly in a retail, natural foods, or cooperative environment.
  • Experience with purchasing and receiving.
  • Firm grasp of margin, pricing and inventory control.
  • Willingness and ability to learn to meet the changing requirements of the job.
  • Able to work at least one weekend day/week, early morning, late evening, or overnight shifts as needed.

PREFERRED QUALIFICATIONS

  • Bachelor's Degree from a four-year college or university or equivalent related experience and/or training; or equivalent combination of education and experience.
  • Training or leadership experience related to grocery,  retail or cooperative environments.

PHYSICAL QUALIFICATIONS

  • Ability to use computer keyboard, mouse, telephone, and office equipment continuously.
  • Ability to lift and carry between 20 and 50 pounds frequently.
  • Ability to sit, stand, walk for long periods of time.
  • Ability to bend, stoop, squat, kneel, reach above shoulder height, and climb stairs/ladders occasionally.
  • Ability to use fine motor skills for typing, grasping, manipulating objects with fingers.
  • Ability to write or type reports, and complete checklists in written or digital format.
  • Ability to read and interpret small print and alphanumeric product codes.
  • Ability to work overnight, weekend and non-business hour shifts as required.
