We are seeking a highly trustworthy, diligent, and proactive Executive Assistant to support a senior executive. The ideal candidate will be detail-oriented, possess strong organizational skills, and demonstrate the ability to manage a variety of tasks efficiently. This role requires a strong sense of responsibility, a capacity for independent work, and the ability to see tasks through to completion. The position also involves bookkeeping for several side businesses and investments, so intermediate knowledge of QuickBooks or similar bookkeeping software is essential.
Please note, this job does not involve bookkeeping for the main business, but for several of the executive's side businesses and investments. This is a part-time position and hours are flexible. Approximately half a day per week will be required in the office in East Earl, PA. There may also be errands to do from time to time in the general area. Almost all other responsibilities can be handled as a work-from-home position.
Key Responsibilities:
- Executive Support:
- Provide high-level administrative support to the executive, including assisting in a wide variety of tasks, related to both the business and personal ventures.
- Prepare reports, presentations, and other documents as needed.
- Handle confidential information with the utmost discretion and maintain strict confidentiality at all times.
- Project Management:
- Oversee and track multiple projects to ensure timely and successful completion.
- Coordinate with other teams or external partners as necessary to ensure projects are on track.
- Proactively identify potential challenges and offer solutions.
- Bookkeeping & Financial Management:
- Perform bookkeeping tasks for multiple side businesses and investments, using QuickBooks.
- Track expenses, income, and reconcile accounts, ensuring all transactions are accurately recorded.
- Prepare monthly, quarterly, and annual financial reports.
- Operational Support:
- Assist with personal and professional tasks for the executive as needed, including researching topics, making purchases, and handling correspondence.
- Maintain and organize physical and digital files, ensuring easy access to important information.
- Act as a liaison between the executive and other team members or external contacts.
Qualifications:
- Proven experience as an executive assistant or in a similar high-level administrative role is valuable.
- Intermediate knowledge of QuickBooks or equivalent bookkeeping software, with a solid understanding of financial records and reporting.
- Strong attention to detail and exceptional organizational skills.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Strong written and verbal communication skills.
- High degree of professionalism and confidentiality.
- Proactive, resourceful, and able to anticipate needs.
- Ability to work independently, handle multiple responsibilities simultaneously, and see tasks through to completion.
- Bachelor’s degree in Business Administration, Finance, or a related field (preferred but not required).
