Job Description: We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have at least three years of professional administrative experience and a proven ability to manage multiple tasks in a fast-paced environment.
Duties and Responsibilities include:
- Responsible for overseeing the daily operations of the office.
- Assist in the preparation of reports, presentations, and correspondence.
- Assist with project admin support such as setting up purchase orders and vendors accounts.
- Coordinate meetings, including booking meeting rooms, preparing agendas, and taking meeting minutes.
- Handle incoming and outgoing communication, including phone calls, emails, and mail.
- Maintain organized records and filing systems for documents and information.
- Monitor and order office supplies, ensuring inventory levels are adequate.
- Assist with planning and coordinating company events, travel arrangements, and logistics.
- Responsible for welcoming visitors, maintaining logs and manage vendors.
- Provide excellent customer service to internal and external stakeholders.
- Other duties as assigned by supervisor.
Minimum Requirements:
- A minimum of 3 years of experience in an administrative or similar role.
- Bachelor's degree preferred; equivalent work experience considered.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of discretion and confidentiality.
- Ability to work independently and collaboratively in a team environment.
- Attention to detail and problem-solving skills.
- Construction industry background/experience preferred.
Work Environment:
- Office-based position with standard working hours.
- Occasional overtime or flexibility may be required.
