What are the responsibilities and job description for the Scheduling Coordinator position at Kind Behavioral Health?
Kind Behavioral Health is a leading provider of Applied Behavior Analysis services, dedicated to improving the lives of children on the autism spectrum disorder. As a rapidly growing organization, we are looking for a full-time Scheduling Coordinator to manage all day-to-day client and provider rescheduling needs. The Scheduling Coordinator will be an integral part of the operations and clinical support team. The ideal candidate will be able to confidently navigate time-sensitive conversations with current families and clinicians, triage cancellations and ensure the continuity of client care through same day and future rescheduling across multiple locations.
\n- Respond to a high volume of communication with caregivers, clinical staff and other stakeholders.
- Oversee RBT substitutions and client cancellations, in close partnership with clinical leadership, enabling clinicians to cover open staffing needs upon callouts, and arranging for timely replacement of clinicians as clinically appropriate and feasible
- Input day-to-day scheduling changes with high attention to detail to ensure data integrity
- Provide a superior experience for all stakeholders with kind, timely, and clear communication across all channels
- Monitor and track adherence to client cancellation & clinician call-out policies
- Partner with clinical team to support same day, and recurring staffing coverage
- CentralReach practice management software, across all clinical service locations
- Coordinate with clinicians to ensure the accurate tracking of client schedules, management of client cancellations, and delivery of ABA services as scheduled
- Outstanding communicator with high EQ – ability to navigate challenging conversations with clinicians and families in a high-pressure, often time-sensitive, setting
- Unwavering focus on customer service, delivering an exceptional experience to both clients and clinicians
- Highly organized, structured thinker who is detail-oriented and solution-focused, even in high pressure situations
- Possesses analytical mindset, data-based decision maker, driving recommendations through methodical analysis
- Proactive and entrepreneurial self-starter, with ability to multi-task across multiple projects in parallel
- Ability to work independently and in a fast-paced environment with a solution-oriented mindset
- Maintain client privacy and confidentiality as appropriate, per HIPAA guidelines
- Proficiency with Microsoft Office (Microsoft Word, PowerPoint and Outlook) and strong data analytic and reporting capabilities within Microsoft Excel
- Preferred Bachelor’s degree
- Desired familiarity with scheduling in a healthcare setting across multiple locations
- Familiarity with ABA and Autism services, and/or CentralReach platform highly preferred
- Full-time, 40 hours per week
- Remote
- Hours for this role are 6am to 3pm EST
