SUMMARY :
The Procurement Specialist is responsible for managing the procurement process for janitorial products, cleaning supplies, equipment, and services. This role involves logistics coordination, negotiating contracts, vendor management, inventory control, and purchasing, while ensuring cost-effectiveness, budget compliance, and quality standards. The Procurement Specialist will work closely with internal teams to support seamless operations, contribute to continuous process improvements, and collaborate effectively with vendors and other departments.
DUTIES AND RESPONSIBILITIES :
Source, evaluate, and select suppliers for janitorial products, equipment, and services that meet the company's requirements for quality and budget.
Manage the procurement of cleaning chemicals, equipment, and supplies, ensuring timely delivery and quality assurance.Optimize purchasing decisions to maintain the right balance of cost, quality, and efficiency.Contract Negotiation & Vendor Management :Negotiate terms, pricing, and delivery schedules with suppliers to ensure cost-effective agreements.
Build and maintain strong, long-term relationships with vendors and suppliers to ensure consistent product availability and service excellence.Monitor supplier performance, conduct regular evaluations based on quality, pricing, delivery, and customer service, and implement corrective actions when necessary.Logistics & Inventory Control :Coordinate logistics and delivery of janitorial supplies and equipment to various locations, ensuring accurate order fulfillment and timely delivery.
Oversee inventory control for cleaning products and equipment, ensuring stock levels are maintained without overstocking or stockouts.Track inventory usage and make recommendations for restocking, product substitutions, or discontinuation of products based on performance.Cost Control & Budget Management :Develop and manage the procurement budget for janitorial supplies and services, tracking expenses to ensure alignment with financial goals.
Identify cost-saving opportunities, negotiate better pricing or discounts, and manage procurement strategies to stay within budget while maintaining quality standards.Prepare procurement-related reports that outline spending trends, savings opportunities, and performance metrics for senior management.Office Administration & Documentation :Maintain organized procurement records, purchase orders, contracts, and vendor agreements for audit and compliance purposes.
Ensure all procurement activities are well-documented, including supplier communications, pricing, contracts, and purchasing history.Assist in the preparation of reports and documentation for management review and decision-making.Team Collaboration & Communication :Collaborate with cross-functional teams, including operations, finance, and facilities management, to understand procurement needs and support seamless operations.
Work closely with internal teams to understand their janitorial supply requirements and ensure timely procurement of needed materials.Support team members in solving procurement-related challenges and share insights into inventory management, vendor relations, and cost control strategies.Continuous Improvement :Regularly assess and improve procurement processes to streamline operations, reduce costs, and enhance supplier performance.
Stay informed about industry trends, new products, and innovative procurement solutions to help drive operational improvements.EDUCATION AND EXPERIENCE :
Bachelor’s degree in business administration, Supply Chain Management, or a related field (preferred).3 years of experience in procurement, purchasing, or logistics, ideally within the janitorial, facilities management, or related industry.Strong experience in contract negotiation, vendor evaluation, inventory control, and budget management.Familiarity with janitorial products, cleaning chemicals, and equipment, including industry regulations and standards.Experience using procurement software (e.g., SAP, Oracle) and Microsoft Office Suite (Excel, Word, Outlook).QUALIFICATIONS AND SKILLS :
Excellent negotiation, communication, and interpersonal skills.Strong organizational skills, with the ability to manage multiple tasks and priorities.Ability to analyze purchasing trends, evaluate suppliers, and make data-driven decisions.Knowledge of inventory management practices and supply chain logistics.Ability to collaborate effectively with internal teams and vendors to ensure smooth operations and timely procurement.High attention to detail and ability to ensure accurate order processing, deliveries, and documentation.Proactive problem-solving skills to address challenges related to procurement and supply chain issues.PHYSICAL REQUIREMENTS :
