We are seeking a dedicated and detail-oriented Personal Assistant to support our Managing Partner in various capacities at our Rhinebeck, NY office.
Position Overview:
As a Personal Assistant to the Managing Partner, you will play a critical role in managing day-to-day activities, organizing communication, and ensuring seamless coordination. You will be responsible for ensuring the Managing Partner’s schedules are well-organized and efficient. This includes phone calls, e-mails, scheduling meetings, and coordinating tasks. The ideal candidate will have a strong understanding of the financial or legal industries, excellent organizational skills, and the ability to anticipate needs. By handling administrative responsibilities, this role will enable the Managing Partner to focus on high-level priorities and strategic initiatives.
Key Responsibilities:
- Professional Support:
- Manage and organize emails, screen calls, and handle communication on behalf of the Managing Partner.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain an organized and up-to-date calendar to optimize the Managing Partner's time.
- Draft correspondence and other professional documents with attention to detail and accuracy.
- Scan, file, and maintain client files in coordination with other staff
- Provide assistance with personal tasks and errands as needed.
- Efficiently use technology to manage schedules, communications, and organizational systems.
- Handle cell phone tasks, including managing messages, setting reminders, and troubleshooting issues.
Qualifications and Skills:
- Associate's degree or higher.
- Strong writing and communication skills, with an ability to convey information clearly and professionally.
- Demonstrated organizational skills with attention to detail.
- Proficiency in Microsoft Office Suite, email platforms, and modern productivity tools.
- Previous experience in an accounting firm, law office, or brokerage firm is a strong advantage.
- A proactive, problem-solving attitude and the ability to multitask under pressure.
- Discretion and trustworthiness in managing personal and professional matters.
Preferred Background:
- Familiarity with the operations of accounting firms or financial services.
- Understanding of legal and financial terminology.
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year
