Description
Job Summary:
The Receptionist will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. The Receptionist will also perform various administrative support duties and clerical operations of the firm. The incumbent reports directly to the Office Manager with a dotted line reporting to the Intake Manager and acts under their direction.
Essential Duties/Responsibilities:
- Welcome clients and visitors by greeting them, in person or on the telephone
- Alert firm personnel of visitor arrivals
- Assist potential clients by screening inquiry type and routing calls to appropriate legal team on a multi-line phone system
- Maintain reception area cleanliness and monitor potential security risks
- Assemble and stamp mailers by specific deadline
- Set up boardroom meeting space and provide refreshments to guests
- Distribute and oversee incoming and outgoing mail
- Complete clerical and other duties as requested
- Conduct client satisfaction surveys
- Daily administrative tasks including, but not limited to, filing, scanning, and managing schedules.
- Regular, consistent, punctual attendance
- Other duties as assigned
Requirements
Required Skills/Abilities:
- Excellent clerical and general office administration tasks
- Excellent written and verbal communication skills; as well as organizational and time management skills.
- High command of English grammar, usage, punctuation and spelling
- Highly Proficient in Microsoft Office Suite or similar software and computer knowledge
- Strong attention to detail
- Ability to meet timelines, maintain professional demeanor and adapt to changing priorities efficiently
- Establish and maintain effective work relationships
- Coordination to operate standard office equipment (computer, phone, printers, scanners etc.)
- Exceptional interpersonal and customers service skills
- Patience and professionalism in dealing with difficult visitors and clients
Education and Experience:
- Minimum of High School Diploma or GED required
- Must be able to type 45 wpm accurately
- No Supervisory responsibilities
- This is a full-time in office position, standard hours Monday - Friday 40 hours per week. Some overtime, as necessary based upon projects
