Position Overview:
The Client Relations & Intake Specialist is a dynamic hybrid role combining legal intake coordination with client acquisition and relationship management. This individual serves as the first point of contact for prospective clients and referral sources—screening potential cases, opening insurance claims, managing follow-ups, and cultivating strong external relationships to support firm growth. The ideal candidate is a detail-oriented communicator with a client-first mindset, capable of building trust and gathering essential information to ensure seamless case onboarding and retention.
Key Responsibilities:
Client Intake & Case Screening
- Serve as the initial contact for potential clients via phone, email, online inquiries, and referral sources.
- Conduct detailed intake interviews to assess case viability and gather relevant accident, injury, and insurance details.
- Enter accurate and comprehensive data into the firm's CRM and case management systems.
- Explain the intake and retainer process clearly, address client questions, and follow up on unsigned agreements.
- Open insurance claims on behalf of clients and track liability determinations with adjusters.
- Notify relevant departments once a case is retained to ensure smooth internal handoffs.
Client Acquisition & Relationship Management
- Cultivate relationships with medical providers, chiropractors, and other community partners to drive referrals.
- Represent the firm at networking events, community functions, and outreach initiatives.
- Educate referral partners about firm services and the client experience.
- Maintain regular communication with existing clients to provide updates, clarify processes, and build rapport.
- Monitor client satisfaction, address concerns promptly, and help prevent escalations.
- Engage past clients to maintain long-term relationships and generate future referrals.
Administrative & Internal Coordination
- Collaborate with legal, medical records, and case management teams to ensure complete intake files.
- Track outstanding documentation, flag follow-ups, and update internal notes for transparency.
- Maintain and organize referral partner databases and contact records.
- Support marketing and outreach efforts by helping with social media or newsletter content when needed.
- Assist with reporting on lead sources, conversion rates, and intake trends for leadership.
Qualifications:
- Previous experience in legal intake, client services, sales, or business development (law firm or healthcare setting preferred).
- Strong communication skills—capable of active listening, empathizing with clients, and clearly explaining legal processes.
- Attention to detail in documenting case facts, insurance information, and client communications.
- Familiarity with CRM and case management software; ability to learn new platforms quickly.
- Comfortable networking in professional settings and following up with leads.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Spanish/English bilingual a plus.
- Paralegal certificate or knowledge of personal injury/workers’ compensation law is a bonus but not required.
