About The Role

As an Operations Manager, you'll play a pivotal leadership role in coordinating and optimizing operations across our property portfolio. Your main objective will be to assist properties in maximizing revenue and minimizing risk. You'll focus on enhancing operational performance, developing revenue streams, implementing lease-up programs, improving rent collection processes, and driving efficiency through strategic policies and procedures. This position will also supervise the Training Manager and Collections Manager, ensuring that operational goals and company standards are met.

Key Responsibilities

  • **Maximize Revenue:** Develop and implement revenue streams, ensuring accurate charges across the portfolio.
  • **Lease-Up Programs:** Establish and update Resident Selection Criteria and manage waitlist policies.
  • **Rent Collection:** Implement automated payment systems and strengthen lease enforcement practices.
  • **Efficiency Improvements:** Streamline operations, lead technology implementations, and consolidate software platforms.
  • **Policy Management:** Standardize procedures for consistency and quality across properties.
  • **Operational Oversight:** Oversee subsidy collections, unit availability, and new property setups.
  • **Data Analysis:** Analyze performance data and publish key reports.
  • **Collaboration:** Work closely with cross-department teams to ensure effective operations and compliance.
  • **Industry Trends:** Stay updated on best practices and trends to maintain our competitive edge.
  • **Supervision:** Lead the Training Manager and Collections Manager to meet operational goals.

Qualifications

  • Associates degree or equivalent preferred.
  • Minimum of 5-7 years of multi-family experience, with site experience a must.
  • Strong proficiency in Yardi and property management software.
  • Excellent analytical, problem-solving, and communication skills.

Job Description

JOB TITLE: Operations Manager

DEPARTMENT: Property Management

REPORTS TO: Sr. VP of Property Management

SUPERVISES: Training Manager, Collections Manager

FLSA STATUS: Exempt

Position Summary

The Operations Manager plays a key leadership role in coordinating and optimizing the operations of all

properties within the KPG multi-family housing and self-storage portfolio. The main objective for this role

is to assist properties in maximizing revenue and minimizing risk. This role will focus on enhancing

operational performance, developing revenue streams, implementing lease-up programs, improving rent

collection processes, and driving efficiency across the department through development and

implementation of strategic policies and procedures. The Operations Manager will work closely with the

Senior Vice President, Marketing, Maintenance, Compliance Teams, Regional Vice Presidents and

Portfolio Management. to ensure streamlined property management procedures, policies, and key

performance metrics. This position also supervises the Training Manager and Collections Manager.

Essential Duties And Responsibilities

Maximize Revenue

  • Identify, implement, and revise revenue sources: Work with property teams to develop revenue

streams more efficiently and confirm/verify that pet fees, storage/garage rentals, parking fees,

trash fees, and more are being charged and implemented accurately across the property portfolio.

Lease-Up Programs

  • Resident Selection Criteria: Review and update Resident Selection Criteria for existing

properties and create new criteria for newly developed properties to ensure quality residents who

are more likely to pay rent consistently.

  • Waitlist Policy Management: Manage of call/waitlists policies and process well before

properties open for leasing, ensuring a pool of engaged households is ready to move in.

Improving Rent Collection Processes

  • Automated Rent Payment Systems: Implement systems that enable more payment options (e.g.,

PayPal, Apple Pay) and integrate automated reminders and responses to improve timeliness and

reduce delinquency.

  • Lease Enforcement: Strengthen lease enforcement practices to facilitate residents comply with

payment terms and are charged appropriately for damages and late payments.

  • Collection Agency Partnerships: Build stronger partnerships with collection agencies to recover

outstanding rents more efficiently.

Efficiency Improvements Across the Department

  • Streamline Operations: Oversee the optimization of processes including resident onboarding,

lease renewals, move-in/move-out inspections, and maintenance requests to reduce administrative

overhead.

  • Technology Implementation: Lead the implementation of RentCafe at all properties and phase

out redundant systems to eliminate duplicate costs. Ensure efficient use of Mobile Maintenance

technology to reduce maintenance time and costs.

  • Platform Consolidation: Work towards consolidating software platforms to increase operational

efficiency and reduce administrative burdens and costs across the portfolio.

Policy and Procedure Management

  • Standardization of Procedures: Work with property management staff to create, maintain, and

update policies and procedures for all properties to facilitate consistency and quality across the

portfolio.

Operational Oversight

  • Subsidy Collections and Unit Availability: Oversee subsidy collections and ensure the effective

management of unit availability and inventory within Yardi.

  • New Property Setup: Collaborate with RVPs, Regional Managers, and other departments to

ensure smooth operations during the setup of new properties, including Lease-up processes and

the transition of information to site staff.

Data Analysis and Reporting

  • Performance Analysis: Analyze data related to renewals, recertifications, turnovers, and

occupancy trends to help site teams make data-driven decisions.

  • Key Reports: Publish weekly Key Indicators reports

Collaboration

  • Cross-Department Partnerships: Work closely with the Regional VPs, Marketing, Compliance,

Maintenance teams, Portfolio Management, etc. to ensure effective operations and alignment of

property management strategies. Additionally, collaborate with the Legal team to ensure

compliance with landlord/tenant laws at all times and any changes get incorporated into leases.

Industry Trends

  • Best Practices and Trends: Stay updated on industry trends, best practices, and emerging

technologies to maintain KPG’s competitive edge in the property management space.

Supervision

  • Team Leadership: Supervise the Training Manager and Collections Manager to ensure they are

meeting operational goals and company standards.

Travel

  • Property Visits: Occasional travel to various properties within the portfolio (10%-15%).

Other Duties

  • Perform other related duties as assigned.

Qualifications/Skills & Knowledge Requirements

  • Education: Associates degree or equivalent preferred.
  • Experience: Minimum of 5-7 years of multi-family experience. Site experience a must.
  • Technical Skills: Strong proficiency in Yardi and other property management software systems.
  • Problem-Solving: Strong analytical and problem-solving skills.
  • Communication: Excellent verbal and written communication skills.
  • Organization: Ability to stay organized and adapt quickly in a fast-paced environment.
  • Team Collaboration: Exceptional team player with strong interpersonal skills and the ability to

multi-task while remaining flexible.

  • Industry Knowledge: Demonstrated commitment to staying informed about industry trends and

best practices.

Training Requirements

Ongoing professional development to stay current with industry trends, technology advancements, and best

practices.

Physical Demands

  • Rarely must stand, walk, climb, balance, or stoop, kneel, crouch, crawl, bend, or lift up to 25

pounds.

  • Occasionally exposed to outdoor weather conditions.
  • Regularly must sit, talk, and hear.
  • Close and distance vision required. Color vision is recommended, though accommodations can be

made.

Work Environment

  • Typically works in an environment with moderate noise.

Salary : $80,000 - $100,000
