We are medium-small sized construction company that specializes in Public Works, some Private jobs and also alternative energy and SWPPP management and implementation.
Our work environment includes:
- Modern office setting
- Heavy use of computers including but not limited to Word, Excel, Outlook
- Although we are very tech friendly and make use of many online tools, the Construction Industry especially still demands for paper (Hard copies) of all documents and each project requires high levels of organization and dilligence to make sure they are constantly updated
- This position will also include some bookkeeping, a large amount of filing, opening mail, responding to emails, setting up meetings, researching bid opportunities for the company, creation of Certified Payroll Reports and entering them into the DIR Website, LCP Tracker, etc.

Job Summary:
We are seeking a highly organized and detail-oriented Office Secretary to join our team. The Office Secretary will be responsible for providing administrative support, managing office operations, and ensuring smooth communication within the organization. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.
Responsibilities:
- Perform general office duties, including answering phone calls, responding to emails, and managing correspondence
- Maintain office supplies inventory and place orders when necessary
- Assist in coordinating meetings
- Prepare and transcribe documents, correspondence, memos, and reports
- Handle sensitive information in a confidential manner
- Assist with data entry tasks and maintain accurate records
- Provide administrative support to various departments as needed
- Perform other duties as assigned
Requirements:
- Proven experience as an office secretary or in a similar administrative role
- Excellent organizational skills and the ability to multitask effectively
- Strong attention to detail and accuracy
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of Accounting is a plus
- Excellent verbal and written communication skills
- Strong customer service orientation
- Ability to work independently with minimal supervision
- Experience in a Construction office or related field is preferred but not required
- Experience with project coordination is a plus
