Position Available: Office Manager

Knox County Health Department is seeking a dynamic Office Manager to oversee administrative operations and provide essential support to our leadership team. Summary of Job Duties:
- Serve as executive assistant for the Public Health Administrator and Assistant Public Health Administrator, providing support to core management staff as needed.
- Supervise all administrative staff, ensuring appropriate staffing and day-to-day operations in accordance with department policies and laws.
- Manage day-to-day operations of the Knox County Health Department, providing operational and facility support as directed.
- Maintain administrative records and files for reference, historical, and compliance purposes.
- Coordinate and support the operation of the Board of Health and Governance Board, including agenda development, meeting minutes, and recordkeeping.
- Manage office communication systems, including telephone and email, and provide technical assistance as needed.
- Assist with Human Resource Specialist services, including employee training, meeting support, and recordkeeping.
- Support the Director of Human Resources in reviewing and revising operational, administrative, and personnel policies.
- Assist in staff recruitment, hiring, and onboarding processes while maintaining communication with leadership.
- Track and manage inventory, including related policies and procedures.
- Manage and update administrative pages on the Knox County Health Department website.
- Process incoming mail and manage payments according to financial policies and procedures.
- Serve as backup for payroll processing.
- Perform other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in business, human resources, or a related field with a minimum of three years of office experience and two years of management experience preferred; or Associate degree with a minimum of five years of office experience and two years of management experience preferred.
- Ability to mentor and supervise staff, operate office machinery, and utilize Microsoft Office software proficiently.
- Excellent communication, leadership, problem-solving, and critical thinking skills.
- Ability to operate a motor vehicle, valid driver's license and proof of auto insurance required.
