Kona Coffee Purveyors, Hawaii’s most celebrated craft roaster and café located in Honolulu, is adding a key role to our thriving organization. We are seeking an Administrative Assistant to join our fast-paced, highly collaborative establishment. The successful candidate will show accountability in prioritizing and completing both fast turn-around and ongoing projects through excellent time management and proactive planning. They will have previous Administrative Assistant experience and an ability to understand the vision/project goals while tracking multiple details and priorities.
POSITION SPECIFICS
Compensation range: $25-$30/hour. This position will be in-person, 8 AM to 5 PM, Monday-Friday
This is a full-time, non-exempt position. Occasional overtime may be necessary depending on business needs.

ROLE
SUMMARY: The Administrative Assistant is focused on the support of Designated Leadership, and is a general go-to person, assisting with scheduling, bookkeeping support, and other administrative needs as they arise.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:
Designated Leadership Support
- Efficiently manages multiple calendars: schedules meetings, agendas, and appointments; responds to internal and external scheduling requests; prioritizes and resolves conflicts as necessary.
- Assists with email, expenses, and timesheets.
- Organize inventory for café support
- Arranges travel plans and itineraries, including flights, accommodations, and transportation.
- Drafts, reviews, edits, and proofreads documents as required. Ensures accuracy and adherence to company standards.
- Supports activities and presentations.
- Administrates professional licenses and continuing education.
- Assists with special projects and initiatives.
- Handles sensitive information with the utmost discretion and always maintains confidentiality.
Customer Service Support
- Coordinates with Cafe Managers and members so that ordering needs are always met.
- Supports the Marketing Team by researching business documents, completing applications, and maintaining records as needed.
- Supports staff and ensures Cafe needs are covered, including reception, catering and guest services, printing, and basic technical issues.
- Occasionally arranges office and project-related travel for staff and management.
- Works with Human Resources to provide employee on and off-boarding support and coordination.
QUALIFICATIONS
- 1-2 years of experience as an executive/administrative assistant
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook,) and QuickBooks
- Familiarity with digital marketing tools and platforms (e.g., social media management tools, Google Analytics)
- Strong clerical and administrative skills, including calendar management and office organization.
- Excellent organizational and time management skills
- Proven ability to work independently as well as collaboratively within a team environment.
- Strong written and verbal communication abilities
- Ability to multitask and prioritize in a fast-paced environment
- Previous experience in a sales or marketing role is a plus but not required.
- Discretion in handling confidential information
PREFERRED SKILLS
- Bachelor’s degree in marketing, Business, or related field
- Experience with project management tools
